Finance Officer- LIFT NK

DUTIES AND RESPONSIBILITIES

Accounting and Financial Management

  • Responsible for preparation of project monthly fund request (Wire).
  • Supports implementing partners in submission of Semi-annual fund request.
  • Responsible for project monthly bank reconciliation
  • Prepare monthly Budget Vs Actual report for the budget holder
  • In coordination with Project Management Team and the Grants Manager help in budget preparation
  • Review implementing partners financial report and prepare consolidated financial report for donor reporting.
  • Support development, roll-out, and continuous improvement of partners financial capacities through regular capacity building sessions
  • Support the Finance and Admin manager and Implementing Partners staff in closeout activities.

KEY PERFORMANCE METRICS INCLUDE:

  • Partners understating of reporting deadlines and following the donor rules and regulations
  • Preparation of quarterly compliance reports.
  • Training and implementation of audit recommendations within the consortium.

EDUCATIONAL REQUIREMENTS:

  • Bachelor’s Commerce Degree with at least CPA II.

MINIMUM REQUIRED EXPERIENCE:

  • At least three (3) years of Finance and accounting experience.

REQUIRED QUALIFICATIONS & COMPETENCIES:

  • Commitment to the mission of BOMA.
  • Must demonstrate excellent oral and written communication skills in both English.
  • Good financial reporting and monitoring skills
  • Experience in working in a consortium.
  • Ability to work respectfully and maintain productive relationships with people from different departments.
  • Results oriented, with the ability to identify problems, design interventions and oversee their implementation.
  • Excellent teamwork, communication, and interpersonal skills.
  • Proficient in computer skills. Experience using QuickBooks.
  • Excellent time management skills, ability to juggle competing priorities and meet deadlines.
  • Ability to work under pressure in a especially with Consortium partners.

IT Associate- LIFT NK

KEY RESPONSIBILITIES:

IT Support

  • Provide End-user support for hardware and software challenges.
  • Talk staff or clients through a series of actions, either face-to-face or over the phone, to help set up systems or resolve issues.
  • Update existing /create new IT user manuals and training materials for all technology related activities in the organisation.
  • System and Network problems, diagnosing and solving hardware or software faults.
  • Replace parts as required i.e., Laptops, Printers, Tablets etc
  • Maintain an updated inventory list of all technology items within BOMA.
  • Research new electronic devices and make recommendations for procurement.
  • Test and evaluate new technology.
  • Provide maintenance and servicing on all technology assets.
  • Provide support, including procedural documentation and relevant reports.
  • Support the roll-out of new applications.
  • Set up new users' accounts and profiles on MS 365, Salesforce, G-suite.

Systems

  • Assist with creation of reports, dashboards, surveys, jobs and other Salesforce related needs.
  • Create, edit and field map surveys created using Taroworks.

REQUIRED QUALIFICATIONS:

  1. Bachelor’s degree in information Technology, business information technology, business systems engineering, computer networking and hardware, computer science or other relevant degree.
  2. At least one year of experience performing IT support and maintenance for hardware and software.
  3. Able to multi-task and adhere to project timelines.
  4. Strong communication skills able to express information to individuals or groups effectively, taking into account the audience and nature of the information.
  5. Able to identify problems, use sound judgment to generate and evaluate alternatives, and to make recommendations.
  6. Strong attention to detail - Is thorough when performing work and conscientious about attending to detail.

Procurement and Logistics- LIFT NK

DUTIES AND RESPONSIBILITIES

Procurement:

  • Maintain supplier’s database, contracts, contacts for all service providers
  • Assist head office with project procurement of office and program supplies
  • Assist in compiling bid analysis for the procurement committee at field office level and lead procurement of goods and supplies for all project implementation sites.
  • Responsible for submission of supplier’s invoices to the finance department for payment processing
  • Compile all implementing partners procurement needs to ensure economies of scale and value for money
  • Liaising and negotiating with suppliers and retailers for project procurement
  • Responsible for reconciling project supplies to ensure timely and accurate re-ordering
  • Responsible for procurement including vehicle parts, fuel, office supplies, program supplies and lodging.

Logistics:

  • Responsible for fleet of BOMA’s (LIFT – NK) vehicles - ensuring that all vehicles are well maintained, serviced and equipped.
  • Responsible for follow up on Project staff vehicle allocation.
  • Responsible for mentors motor bikes insurance records and annual renewal.
  • Collaborates with project implementing partners to ensure compliance with donor rules and regulations.

Administration:

  • Ensure effective and efficient administration and logistics support to LIFT - NK.
  • Ensure timely submission of drivers travel requests Advances and Communication Allowance for mentors
  • Responsible for Mentors monthly fuel, airtime and bundles
  • Establish, manage and maintain all LIFT - NK assets.
  • Responsible for the project staff safety and security plan field offices and trips/travels.
  • Supports Finance and Admin Manager in the timely and effective implementation

of procurement and logistic related internal and external audit recommendations.

KEY PERFORMANCE METRICS INCLUDE:

  • Timely and accurate preparation of monthly/quarterly/Semiannually management reports
  • Timely project staff facilitation for relevant field travels
  • Timely planning partners trainings
  • Compliance with funders’ reporting and procedure requirements
  • Timely update of the project asset register

EDUCATIONAL REQUIREMENTS:

  • At least a bachelor’s degree in International Development, Business Administration/Management or a related field required from a recognized institution.

MINIMUM REQUIRED EXPERIENCE:

  • Minimum at least 3 years in administration experience.
  • Excellence interpersonal, oral, and written communication and negotiation skills, including expert command of English.
  • Strong planning and organizational skills.
  • Excellent computer skills in Word, Excel, PowerPoint, internet, remote conferencing applications.
