JOB DETAILS:The Finance and Administration Associate is responsible for supporting program execution and overall administration at the Seed office. The successful candidate will work directly with the Finance, Program and Network Managers to support the Seed Transformation Program, Seed Transformation Network, and other programs and priorities. The Finance Administration Associate reports to the Regional Director, Seed East Africa.
Core Duties
• Liaises with the Finance and Admin Manager on logistics such as to flight reservations, hotel (and other accommodation) bookings, and ground transportation for local staff and visiting Staff and Faculty.
• Offers general finance and administrative assistance to the Finance and Admin Manager e.g. procuring office supplies, renewal of permits.
• Posting and Matching Supplier Invoices.
• Billing and Receipting Participant Fees.
• Making follow up calls to cohort applicants with regards to payments and submission of required documents.
• Serve as the petty cash custodian.
• Create and maintain files and filing systems.
• Liaise with the landlord on admin related issues.
• Responds to visitors' inquiries and routes them to appropriate individuals; answers phones, and serves as a resource on unit procedures and general inquiries.
• Basic tech support on Salesforce, Sage, Asana, Zoom and other applications.
• Custodian of digital file repository
• Minute-taking and assigning action items during Team Meetings.
• Work with Program Manager on general administrative assistance and classroom support prior to Immersion Weeks.
• Work with Program Manager on recruitment process for Seed East Africa.
• Coordinates meetings and assists with routine conferences including ensuring rooms are set- up, managing equipment, ordering meals, and assembling materials.
• Responsible for logistics, catering related to all events
• Any other tasks that may be assigned by Regional Director
Qualifications
• Bachelor’s degree in Business, Finance, Accounting or other related degree. CPA qualification isa bonus.
• At least 2 years’ experience in a reputable organization in accounting, finance or operations
• Comfortable and competent in working with technology. Use of Salesforce, Sage, Asana, Zoom is a plus
• Works well in a team setting.

• Member of Institute of Certified Public Accountants in good standing and;
• Member of Institute of Internal Auditors
• A minimum of four years post qualification hands-on relevant experience in social/development sector, especially working with the foreign funded NGOs.
• Candidate must have a strong grip on IFRS, GAAP and Internal auditing standards
• He/she must be fluent in written and oral English and Kiswahili languages.
• Knowledge of SAP or other ERP is desirable.

• Demonstrated 5 years experience in undertaking a range of compliance activities, such as, risk management, audit, internal control systems and processes.
• Demonstrated experience in developing and executing internal audit programs including fieldwork, reporting, review through to sign-off and completion.

• Ability to manage and motivate self, work collaboratively in a team environment and across an organization, contribute to a culture of teamwork and take a shared responsibility for achieving results.
• Proven effective written and verbal communication and presentation skills, including the ability to develop critical and complex reports and documentation and the provision of specialist advice on issues of a complex nature.

• Efficient utilization of funds and other Public resources placed at their disposal as they shall be the authorized officers in respect of exercise of delegated powers; and

Requirements for Appointment
• Be a Kenyan citizen.
• Have a relevant Bachelor’s degree in the portfolio applied for.
• Possession of a Master’s degree in a relevant field will be an added advantage.
• Have vast knowledge and experience of not less than 10 years in the relevant field, five of which should be in a managerial position
• Be conversant with the Constitution of Kenya and all the devolution laws
• Demonstrate thorough understanding of county development objectives and vision 2030
• Be a strategic thinker and results oriented
• Have excellent communication, organizational and interpersonal skills
• Have capacity to work under pressure to meet timelines
• Have ability to work in a multi-ethnic environment with sensitivity and respect for diversity
• Satisfies the requirement of Chapter Six of the Constitution
• Demonstrate understanding and commitment to the values and principles as outlined in Articles 10 and 232 of the Constitution of Kenya.
• Be computer literate.
