Under the guidance of MEL Officer and/or his designate, the Data Clerk will support the day-to-day project implementation, tracking and reporting. The role includes daily data collection; collation; abstraction; verification of results reported; analysis and dissemination. He/she will ensure accurate entry of all Global Fund Program activities into the relevant databases. Further, they will support the field-based activities as may be assigned from time to time.
Duties and responsibilities
• Support routine field-based data collection as well as participation in planning and review meetings held with community resource persons engaged by the program.
• Keep track of received data and source documents
• Compile, sort, and verify accuracy of data to be entered.
• Follow up with those responsible for preparation of source documents to resolve questions, inconsistencies, or missing data.
• Undertake data entry from source documents into computerized databases following prescribed formats.
• Assist in monthly, quarterly, and semi-annual data reporting in accordance with the program’s indicators and reporting requirements.
• Effectively communicate to the MEL Officer and/or his designate on the emerging issues on the data tools, data management and indicators.
• Ensuring data management standard operation procedures (SOPs) are implemented and adhered to the latter.
• Participate in quality improvement, quality assurance and management functions at the station.
• Participate in routine data quality assessments at the project sites.
• Maintain privacy, security and confidentiality of program data and related documents including any
• confidential information s/he may come in contact with.
• Support/participate in the documentation and learning agenda of the program.
• Carry out any other duty assignment as may be assigned.
Qualifications
• Minimum of Diploma in Health Records, Informatics, biostatistics, behavioural and social sciences, or any other related discipline.
• Competency in Microsoft office package especially excel, word and powerpoint as well as fast typing skills; knowledge of touch-typing systems is strongly preferred.

We are now searching for a Senior Program Manager — Africa. African countries will be the primary places of origin of Malengo students. Your primary responsibility will be building the program across the continent in all respects; you will be both the main representative of the Malengo program in Africa, and its most important driver. The role holder will be working for Malengo, who are currently collaborating with Busara on the Malengo Scholarship Program.
Responsibilities include:
Oversee and ensure quality of day-to-day Malengo operations in Uganda, including setting up, tracking, and trouble-shooting to ensure a smooth student journey. Much of this will be working with and managing Uganda-based staff who are the primary liaisons with students and families. Core activities include:
• Overseeing outreach to students and schools
• Overseeing receipt and processing of applications
• Organizing and ensuring quality, consistency and continuous improvement of interview and selection process
• Communicating student selection
• Overseeing their support of the students with university applications and TOEFL tests
• Overseeing visa application process and housing search
• Organizing and running student orientations and communication with parents/guardians
• Ensuring consistency and timeliness of student communications about the application and onboarding process
• Work with senior leadership to make the program scalable as we select 100 students in 2022 and 500 students in 2023

Key Responsibilities:
Donor and Grant Management Support:
• Support the corporate/major donor income stream. - Support Africa fundraising and assist the fundraisers with the whole donor cycle. - Communicate regularly with the Africa fundraisers in order to support their fundraising efforts and provide them with relevant information about the projects/programs. - Gather and consolidate project information for funding. - Support donor reporting and account management by gathering and consolidating project reports (narrative, financial, photos, family stories, etc.). - Confirm reports are submitted on time, in donor templates and are of appropriate quality. - Prepare all grant-related documentation and paperwork. - Gather information for the development of concept notes and proposals and coordinate the international aspect of the various departments/stakeholders involved in the phase of acquiring the funding. - In cooperation with all relevant departments, support the smooth running of partnerships and grants by ensuring reporting deadlines are met and on time, partnerships are renewed, invoices are issued, funds are received and allocated/coded, etc. - Support the national office (NO) and area office (AO) team in planning, promotion and development of donor events in the Africa region. - Ensure volunteer teams include all the donor’s requests.
Tithes & Designated Donations Income Stream:
o Support tithes distribution to NOs. Ensure that the communication with the affiliates is done regularly, the calls, presentations and meetings are of good quality. - Support the HQ tithes team with regular communication with the NOs, affiliates, scheduling the calls, visits, Global Village trips, and all related support to the tithe’s income of more than $2.5m with the aim of increasing this income. - Support Africa NOs’ related tithes management, relations with US affiliates and other designated donors in their funding for Africa. - Make sure reports are submitted on time and are of appropriate quality. Also gather information for the development of concept notes and coordinate the funding with various departments. - Prepare the tithes funds-related documentation and paperwork.
In later stages also:
• Research new fundraising opportunities. - Support the NOs with advice on high-quality and tailored presentations and other documents for donor meetings, proposals etc.
Data, Files and Information Management:
- Perform data entry and maintain accurate donor records for regional and national donors in HFHI’s donor database and prospect pipeline. - Ensure all relevant files are saved locally and on the cloud server to ensure other teams accessibility as well as internal audit controls. - Coordinate as needed with other relevant HFHI teams and national offices to facilitate cross-border fundraising efforts. - Keep accurate records on projects and income and support with preparing internal quarterly reports, divisional objectives, etc. - Provide regular donor giving reports and history to the fundraising team, senior staff and other fundraisers as requested.
Other:
• Promote and maintain Habitat’s name and activities. - Provide high-quality support to HFHI Resource Development department and out-of-door fundraisers. - Assist with document and knowledge sharing among fundraisers. - Undertake any other reasonable duties assigned.
