JOB DETAILS: Duties and Responsibilities
• Scanning and digitalization of documents/ Enter paperwork into an electronic system either by data entry or by using optical scanners
• Check incoming paperwork (correspondence, invoices, etc.)
• Create or update records with new files and information.
• Store all paperwork in designated places securing the important documents
• Deal with all requests to access files and keep logs of borrowed papers
• Develop an efficient filing system to make updating and retrieving files easier
• Follow policies and confidentiality dictations to safeguard data and information
• Monitor inventory of files, paper clips, etc. and report shortages
Minimum Requirements and Competencies
• Bachelor’s Degree in any administrative course or bookkeeping.
• 1-2 Years of proven working experience as an administrative clerk.
• Proven experience as a file clerk.
• Excellent organizational, time management, and communication skills
• Knowledge of filing systems.
• Very good knowledge of MS Office and office equipment such as photocopiers, scanners, etc., and Microsoft Office Packages.
• Dependable with a respect to confidentiality and policies.
• Excellent organizational skills.
• Great attention to detail.

• Bachelors Degree in Administration, Hospitality or relevant field.
• Minimum of 5 years relevant experience in a managerial position.
• Must have the abilityto multitask.
• Must have demonstrated ability to handle departmental budgets, resources, processes, projects and relationships.
• Must have ability toplan, organize, implement and evaluate departmental goals.
• Have strong analyticalskills and be result oriented.
• Must have highstandards of integrity and ethical practice.
• Experience inCatering, Housekeeping, Repairs & Maintenance of buildings and equipment,Security, Fleet Management and General Administration in a hospital set up willbe an added advantage.

The holder of this position will report to the Chief Executive Officer. He/she will be responsible for planning,organizing and coordinating services related to the key infrastructural developmentsof the hospital, Catering, Housekeeping, Transport, Security, Repairs &Maintenance of hospital buildings & equipment, and Farming.
