Your RoleAs Facilities Manager, you will oversee the management and maintenance of our Kenya facilities as well as the planning, coordination, and delivery of critical administrative tasks to ensure smooth operations of all office-based activities.
What You Will Do
• Manage KOKO’s offices and warehouses to provide a great environment for our employees and visitors
• Plan and direct office fit-outs and renovations, managing contractors/vendors, internal stakeholders, and budgets
• Provide support on various administrative issues to ensure efficient and effective running of day-to-day operations, including procurement, handling third-party correspondence, queries, and complaints, escalating as appropriate for resolution
• Manage and coach KOKO receptionists, and any other direct reports
• Identify opportunities for office management process improvements, and implement new systems
• Oversee service contracts and manage relationships with the service providers including landlords, management, security, caterers and other third parties

Key Responsibilities

This post is located in the Climate Services and Capacity Building Unit of the Science Division at the Nairobi duty station.Under the direct supervision of the Administrative Officer and within delegated authority, the incumbent will be responsible for the following duties:
Responsibilities
Budget and Finance
• Assists in developing the unit¿ s work program and budget; analyses inputs and formulates resource allocations by work program, or business processes;
• Monitors budget/work program with respect to Green Climate Fund (GCF) and Global Environment Facility (GEF) Project/Programme budgets, trust funds and grants, on a regular basis, reallocates resources as necessary and assists in finalization of budget performance reports, analyzing variances between approved budgets and actual expenditures;
• Supports the implementation of procedures and systems for implementing the appropriate financial database;
• Contributes to the development of budgetary guidelines for the Unit;

Work Experience

Languages
