Background
LVCT Health is an established Kenyan NGO that is renowned for the implementation of health programs at scale in Kenya. Through its vision of Empowered Healthy Communities, LVCT Health is a leader in designing and implementing innovative HIV prevention and treatment approaches, sexual and reproductive sexual and gender-based violence programs reaching the most vulnerable populations. The organization works with the government and other stakeholders at national and county levels.
2. Objectives
In line with LVCT Health’s vision of Empowered Healthy Communities, the 20 years’ milestone celebrations video documentary and the photo book is expected to;
1. Assert LVCT Health’s role as a leader in the provision of comprehensive HIV, Sexual and
Reproductive Health & Gender-Based Violence (SGBV) programming at the facility and community level, research, health systems strengthening and policy influencing through innovative, integrated, comprehensive and high impact services and programmes.
2. Showcase LVCT Health work and the impact of working with vulnerable and most marginalized populations ( adolescents and young people, survivors of sexual and gender-based violence, sex workers and men who have sex with men, people who inject drugs, people in prisons) most at risk of getting HIV infections and negative Sexual and Reproductive Health outcomes
3. Present LVCT Health’s success story and transformation journey in the last 20 years, working with communities and partners in delivering health outcomes for Kenya and beyond, including our beneficiaries.
4. Spark reflections and discussions to drive LVCT Health’s goals for the next 20 years.
5. Celebrate our donors for their generous support in enabling LVCT Health to contribute to positive development and impact in the health sector in the county, national and beyond Kenya, including our staff for their expertise and role in delivering health outcomes.
3. Scope of work
This assignment aims to produce a high-level video documentary and photographs that will capture key moments, achievements and impact of LVCT Health work for the last 20 years and beyond.
As part of the deliverable, the consultant, under the direct supervision of the Communications and
Knowledge Management Manager, will be required to conduct the pre-production and post-production exercise of developing the documentary and take photos during the field visits.
The documentation exercise will involve:
• Develop a documentary script and storyboard to guide the production of the overall documentary and thematic mini-documentaries/videos
• Document LVCT Health's strategic processes/ priorities, programme profiles and change stories that tell the story of LVCT Health's impact in delivering health outcomes for Kenya and beyond
• Document LVCT Health's best practices in providing comprehensive HIV, Sexual and Reproductive Health & Gender-Based Violence (SGBV) programming at facility and community level, research, health systems strengthening and policy influencing through innovative, integrated, comprehensive, and high-impact services and programmes.
• Inspire people and development partners to support LVCT Health work beyond 20 years of celebrations
• Document thematic-based mini videos that highlight LVCT Health's programmatic progress and impact over the years in Kenya and beyond
• Capture and edit 30-second voices of selected key stakeholders for use in the LVCT@20 campaign
• Travel to project sites to carry out the filming activities with selected participants, including project beneficiaries, partners etc.
• Identify suitable locations for shooting and logistical requirements.
• Provide a detailed schedule, including pre-production, during and post-production.
• Draft interview questions in consultation with LVCT Health Communications and select programme team leads.
• Identify suitable persons for voice overs where applicable
• Produce overall and mini-edited video recordings of the scenarios captured and the footage of the recorded stories for comments about the content and quality before final packaging the content in an appropriate and agreed format.
• Produce at least eight mini edited 1-minute thematic based high-quality video snippets from the documentary for social media use and placement
• Produce and deliver the final version of the n 1080p (HD) resolution documentary and mini thematic-based videos with English subtitles in both flash drive format and compressed video format for online viewing
• The edited videos and photos should allow for easy upload
4. Duration of the assignment and focal point
The assignment is expected to take 25 working days from the date of award and signing of the contract.
The schedule of proposed works will include 15 days of field work, 7 days of editing and reporting and 3 days of incorporating comments/input from LVCT Health team. All travel and accommodation will be covered by the consultant.
The proposal shall include a detailed work plan and time schedule which will be guided an overseen by
LVCT Health Communications and Knowledge Management Manager with support from the Technical
Working Committee and Executive Director.
5. Ownership
The edited documentary as well as all footage filmed for this assignment shall be the sole property of
LVCT Health.
6.Equipment for the Assignment
No equipment will be purchased or provided by LVCT Health. Any equipment needed to complete this assignment shall be provided by the service provider.
7. Qualifications and Experience for Consultants
Interested Consultant(s) will be required to have the following:
• A Degree in Journalism, Media Studies/ Film production or related field
• At least 8-10 years of proven experience in film/documentary production
• Extensive experience in producing development work-related productions for Non- Governmental Organizations
• Excellent technical capacities (state-of-the-art filming equipment- High definition and editing studio) to ensure high-quality production
• Knowledge of LVCT Health work and familiarity with geographical locations where LVCT Health works
• Excellent organizational skills with the ability to plan and meet deadlines through and with teams of people and individuals from diverse backgrounds
• Ability to work under strict timelines and apply high production and technical standards to maintain a high level of professionalism
• A track record of similar successful assignments is an added advantage
• Other Information not explicitly requested in this Request for Proposal that should be considered in the evaluation of the response may be included at the end of the proposal.
• 8. Application Requirements
• Interested consultants or individual must submit:
• A technical proposal highlighting the methodology and approach in carrying out the assignment and the skills and experience the consultant/ firm would bring to the assignment
• A brief overview or profile of the consultancy firm and Personal CVs of technical personnel proposed for this project highlighting qualifications and experience in similar projects
• Detailed financial proposal quoted in Kenya Shillings and proposed work plan indicating consultancy fee and a breakdown of expenses (unit price together with any other costs) related to the assignment
• KRA VAT, PIN registered, and valid Tax Compliance Certificates (Attach documentation)
• A link of sample work(s) previously done for other clients in the last 2-3 years

5. All proposals or quotations MUST be submitted on firm’s official letterhead.
6. Price should be submitted in Kenya shillings and clear VAT applicable stated.
7. LVCT Health selection criteria require a supplier who will accept our Purchase Order or Contract agreement
The proposal and supporting documents must be submitted in English.
