Overall Responsibility
The Data Administrator administers data collected by the ICRC to support its activities on behalf of people entitled to ICRC protection & assistance under international humanitarian law. The incumbent performs various data processing on computer mainly independently. They perform internal and external follow-up of individual cases. In addition, they ensure follow-up and updates of PROT6 files.
Tasks and responsibilities
• Carries out data processing; independently consults the database, inputs new data and updates existing data upon receipt of new information and carries out the required follow-up;
• Focal person for Archiving Prot6 individual files as required by Headquarters procedures;
• Contributes actively to the daily organization of the protection office; independently carries out office tasks – document checking, scan or photocopying and maintaining a proper filing system;
• Contributes to the protection and security of individuals personal data;
• Attends to the Protection department clients at the delegation, listens to their request and/or inquires and provides them with Restoring Family Links (RFL) services or accurate advice, referrals and follow-up as necessary there upon updates the visitors’ statistics on TeamSpace;
• Carries out translations from English to Swahili and vice versa to visitors who can only speak Swahili;
• In coordination with (RFL)/Data file holders, accompanies them for field support visit (Data) in Kenya and Tanzania;
• Carries out basic office tasks - document checking, photocopying, and maintaining a proper filing system for documents & files;
• Assist in Preparing mail for transmission (memos, Red Cross Messages, pouches) to other ICRC Offices and to the National Societies as well as other entities (i.e., Embassies);
• Assist in organizing Guantanamo phone calls – (Booking room, notifying family members, transport arrangements, gives feedback to Protection Department in Washington on the calls);
• Ensures the departments Archive Room is well maintained;
• Replaces RFL/Tracing colleagues in their absence.
Minimum Requirements and competencies
• University Degree or Diploma in Information Technology, Business or related studies;
• 2 years of professional experience in a similar field;
• Very good command of written and spoken English, with basic knowledge of French;
• Sense of organization and confidentiality;
• Good Analytical and organisational skills;
• Excellent data management skills;
• Excellent command of written and spoken English.
