JOB DETAILS:

Responsibilities:
Project management and new business development support to Diagnostics projects (50%)
• Develop and manage global, cross-functionally integrated project work plans, and associated implementation and control processes
• Work closely with the project lead to manage the project plan, prioritize activities and resources across a global team, and advise on strategic project decision-making
• Work in collaboration with the PATH Project Administrator to monitor project spending and provide input into budget priorities
• Coordinate and contribute to the development of new grant proposals and budgets, ensuring a timely, collaborative, and efficient process. Lead proposal teams, managing day-to-day activities, timelines, team communications, and resources. Ensure technical and budget planning are consistent, competitive, compelling, and compliant with PATH and donor requirements.
• Develop, implement, and manage systems to coordinate, track, analyze and communicate progress across multiple workstreams
• Manage communication across internal and external stakeholders, lead virtual and in-person meetings with project team and stakeholders, and facilitate decision making among stakeholders and partners
• Proactively drive high-quality project deliverables with partner organizations, understand dependencies and risks, identify, and track critical path items, and implement mitigation strategies in a constantly changing environment
• Coordinate routine donor reporting and deliverable development and lead preparation for internal or donor meetings
• Assist in the development of project communications for PATH leadership and donors. Collaborate closely with PATH Communications to develop regular and ad hoc project communications and for external audiences.
• Contribute to the implementation of project management systems and tools. Serve as an active member of the Project Management Team

Divisional operations and communications (50%)
• Develop and support proactive management of project schedules and workstreams
• Work with global colleagues and facilitate collaboration between teams to develop solutions to business challenges and deliver operational improvements
• Identify impediments in operational processes and drive steps to implement solutions
• Work closely with the P&I management team to use and improve the effectiveness of project management tools, including Smartsheet
• Support planning and facilitation of divisional meetings (all-staff, extended leadership, management team) and project-specific meetings
• Lead divisional knowledge management efforts by managing regular updates on SharePoint site and maintaining organization of resource libraries
• Coordinate and contribute to the drafting and finalization of divisional communications, presentations, and related materials (Standard Operating Procedures, Policies, Process Flows, Organizational Charts, etc.)
• Takes clear and concise meeting notes, share action items, and follow up with stakeholders to ensure completion
• Make a conscious effort to create an inclusive environment and discuss issues of diversity, equity, and inclusion as it relates to divisional priorities
• Can surge out to other project teams to project manage priority work streams

Required Experience
• Bachelor’s degree required, with a focus in public health, business, nonprofit administration, or related field preferred
• A minimum of 4 years of related project management experience or an equivalent combination of education and experience required
• Demonstrated experience supporting proposal development required. Experience leading proposals and executing projects funded by a broad range of donors including, but not limited to NIH, UNITAID, The Bill and Melinda Gates Foundation, USAID, FCDO, etc.
• Demonstrated experience working on multi-country projects and/or with multiple partner organizations required
• Demonstrated experience implementing and utilizing project management tools for project planning and implementation, risk management, and/or quality management
• Experience working with international and developing country staff/collaborators and ability to interact culturally and diplomatically with diverse internal and external teams
• Excellent interpersonal skills, including the ability to interact with and build strong relationships with senior staff, global colleagues, partner organizations, stakeholders, and others at all levels; able to synthesize and present information effectively to different audiences
• Experience and confidence working in a dynamic environment with matrixed staff
• Excellent oral and written communications skills in English, including proofreading and editing; ability to speak and write in a language other than English a plus
• Proven ability to be impeccably organized in notetaking, document naming, file organization and documentation
• Project management certification a plus
• Budget management experience a plus
• Experience in clinical study management and/or with a non-profit research organization a plus
• Proficiency in Microsoft Office suite (including Word, Excel, OneNote, and PowerPoint)
• Proficiency in Smartsheet desired
• Experience with Tableau, SharePoint, and Salesforce a plus
• Ability to join international calls outside of business hours.
• If applicable, willing, and able to travel an estimated 10% of the time
