JOB DETAILS:
Jamii Sacco is a Deposit Taking Sacco (DTS) registered under the Cooperative Societies Act Cap 490 (Amended 2004) of the laws of Kenya and licensed by SASRA.
The objectives for which the Society was established are to organize and promote the quality of life of the members by providing quality financial services.

Vacant Position Details

The following position is vacant and the Sacco would like to fill:

Position: PA/CEO’s Secretary
Grade - J-C4
Department: Administration
Job Type: Contract – Three (3) Years renewable on performance Location: Nairobi

REF. JSS/HR- AD– C4/2022

Job Purpose

Reporting to the CEO, The job holder reports to the CEO and is responsible for providing administrative support to staff.

Functions / Key Results Expected

The Job holder is responsible for:
a) To maintain the executive diary
b) To assist staff with administrative duties as requested.
c) To develop and maintain agency inventory system.
d) To distribute incoming mail and prepare outgoing mail including bulk mail. Update and maintain mailing lists.
e) To maintain front desk area, keeping it clean and free from clutter.
f) To type and word process documents as needed.
g) To order office supplies and monitor inventory.
h) To maintain appropriate interpersonal relationships with employees, peers, and members.
i) To facilitate special event registration and execution.
j) To assist with various program operations as requested as responsibilities permit.
k) To participate as a key team player by supporting operations as needed.
l) To contribute to the development and maintenance of standards, policies and procedures regarding member service
m) To support/participate in the organization’s continuous improvement program.
n) To Coordinate senior management meetings, distribute agenda, take and circulate the minutes as well as follow up on action plans,
o) To prepare various reports and presentations as may be required by the CEO from time to time,
p) To coordinate Board meetings including ensuring reports are prepared and circulated to Board members.
q) To be in charge of internal communication to staff under direction of the CEO.
r) To maintain Administration records efficiently and in a confidential manner.
s) Any other duties as may be assigned.

Impact of Results

 Effective and efficient management of day to day administrative functions of the SACCO

Qualifications & Requirements
 Bachelor’s degree in business related field or Public Relations and Diploma in Secretarial studies,
 Proven track record in successfully working with a CEO/Director level functions in financial institution, and/or other related fields.
 Strong decision-making capability and ability to handle confidential information,
 Excellent organizational skills, time management skills, administrative skills, written and verbal communication skills prioritization competence, with accuracy and attention to details.
 Proactive attitude and ability to take initiative
 Strong interpersonal skills, outgoing personality, and ability to work independently on strict deadlines.
 At least ten (10) years’ work experience in a reputable organization in a similar or equivalent position

Other Requirements Compliance To Chapter Six Of The Kenyan Constitution:
 Police clearance certificate (Certificate of Good Conduct)
 Tax compliance certificate from the Kenya Revenue Authority (KRA).
 Clearance certificate from the Ethics and Anti-Corruption Commission (EACC).
 Clearance certificate from Credit Reference Bureau (CRB)
