Senior Officer, Documentation & Control

JOB SUMMARY:

To be responsible for vetting of all approved facilities due for booking ensuring compliance with all Credit policy and underwriting standards, Delegated Lending Authorities and Service level agreements.

KEY RESPONSIBILITIES:

Strategy -10 %

  • Actively ensure SBM bank’s Growth and asset quality improvement strategy is met through booking of facilities as per established credit framework, policies and procedure and ensuring income are collected for all facilities extended to clients.

Operations - 60%

  • Deputize the Manager in day to day running of the of documentation unit
  • Oversee joint registration of log books and MPRS agreement registration
  • Liaise with business partners to ensure log book processing and reconciliation are in order
  • Follow up on delays of MPRS or Joint registration receipts
  • Responsible for loan take overs and audit confirmations
  • Receive record and distribute all work from branches
  • Ensuring that offer letter and accompanying documents have been fully and duly executed
  • Preparing checklists and booking memos once all documentation is received.
  • Creation of Credit files and filing the respective documents therein.
  • Sending communication back to the respective Relationship Officers where documentation is incomplete and ensure follow up on the same to compliance.
  • Clearing the applications on the work queue once done
  • Ensuring individual MI is populated daily
  • Give weekly return on all work processed each Wednesdays
  • Give weekly return of all reworks to the branch with reasons

People Management - 10%

  • Deputize the manager in managing officers in the team
  • Ensure proper understanding the business expectation by having a SMART balance score card.
  • Ensure timely performance review by line manager.
  • Maintain good teamwork and respect for all staff within and without the department
  • Ensure to attend but also complete assigned online trainings

Compliance - 20%

  • Credit Policy Manuals, Departmental Operating Instructions, prudential guidelines and SLAs
  • Banks Anti Money Laundering Policies and Procedures in conformity with defined
    standards and guidelines
  • Other internal and external regulatory requirements

Manager, Credit Monitoring

JOB SUMMARY:

  • To oversee and manage monitoring of disbursed facilities to ensure sustenance of a high quality portfolio.
  • To lead the unit in monitoring disbursed facilities to ensure compliance with Credit policy, underwriting standards and approval terms and conditions as well as tracking and ensuring adherence to approvals covenants.

KEY RESPONSIBILITIES:

Strategy - 10%

  • Play an active role in execution of SBM bank’s Growth strategy in terms of Assets growth by monitoring sanctioned facilities to ensure sustenance of high quality and compliance with sanction terms and conditions and other approval covenants. 
  • Review of booked facilities to ensure they are booked correctly and that all income due to the Bank is collected promptly.
  • Ensuring continuous process reengineering with a view to improving efficiency to ensure compliance with set Service Level Agreements.
  • Review and recommend modifications in the Credit Policies and Credit Procedure manuals to support the Bank where new processes are identified or processes modified.
  • Give guidance and mentoring to the team members to improve performance and retain talent.

Operations - 50%

  • Review all disbursed facilities to ensure accuracy of the booking and compliance with approval terms and conditions and adherence to approval covenants.
  • Reviewing performance of all the performing accounts from time to time to ascertain their health, identify any early warning signs for effective and timely remedial action to ensure sustenance of a healthy portfolio.
  • Review and manage monitoring and follow up facility covenants as well as review of financial health of borrowing accounts under the performing portfolio.
  • Review collections comments from time to time and intervene on sensitive accounts in terms of exposure or progression of DPDs.
  • Prepare and coordinate preparation of and presentation of monthly Portfolio Review Report to PRC during monthly portfolio review meeting.
  • Prepare and coordinate presentation of Loan Arrears and collection reports to during monthly EAC meetings for all the business segments.
  • Monitoring construction projects financed by the Bank and conducting joint site visits before tranche disbursements to facilitate onsite review.
  • Review and ensure compliance with specific covenants meant to ensure sustenance of quality portfolio and favourable returns from specific relationship managers.
  • Carry out review of the dairy and track follow up of any approved exceptions as well as renewal of periodic covenants.
  • Offer guidance and direction to the team on various issues.
  • Any other duty as may be assigned from time to time.

People Management - 15%

  • Manage the staffing, workload and output of all staff in the Credit Monitoring unit.
  • Evaluate the performance of the staff in the unit.
  • Maintain good coordination between the Credit Monitoring and other units, credit collections, DRU and business development.
  • Ensure commensurate training of all Credit staff, in new or modified credit Procedures, forms, credit policies.
  • Provide administrative and mentoring support to all staff in Credit monitoring unit.
  • Prepare the annual performance unit agreements to be presented to the Director of Credit for integration into the bank’s overall annual plans.

Manager, SME Credit Approver

JOB SUMMARY:

To oversee and manage monitoring of disbursed facilities to ensure sustenance of a haigh quality portfolio. To lead the unit in monitoring disbursed facilities to ensure compliance with Credit Policy, underwriting standards and approval terms and conditions as well as tracking and ensuring adherence to approval covenants.

KEY RESPONSIBILITIES:

Strategy - 10%

  • Play an active role in execution of SBM bank’s Growth strategy in terms of Assets growth by undertaking a thorough and informed credit appraisal and analysis to ensure sustenance of high quality SME loan book. 
  • Ensuring continuous process reengineering with a view to improving efficiency to ensure compliance with set Service Level Agreements.
  • Review and recommend modifications in the Credit Policies and Credit Procedure manuals to support the Bank where new processes are identified or processes modified.
  • Give guidance and mentoring to the team members to improve performance and retain talent.

Operations - 50%

  • Execute Credit underwriting/approvals function in line with Bank Credit Strategy and the overall Bank growth strategy;
  • Undertake timely review of credit application within stipulated turnaround time;
  • Oversee daily review loan workflow in the system (when available) to assess the number of loan applications received, the turnaround time of every step in the process e.g., analysis/approvals of TODs, Credit applications, Waivers, Early Draw Downs etc. ;
  • Conduct random review of the credit files to make sure that prescribed standards being adhered to;
  • Review and sign all Credit Approvals loan reports prior to distribution for accuracy and completeness;
  • Providing input for the development and review of credit process and related credit projects/credit products; and
  • To undertake branch visits and client visits as per business needs.

Senior Officer, Systems Administration

JOB SUMMARY:

To provide professional ICT support and administration that would ensure stable operations of the bank's IT system through best practices and the appropriate collaboration with technical, business and third party organizations.

KEY RESPONSIBILITIES:

  • To ensure all bank systems avaibility to all users and ensure maximum usage and output of software to facilitate all and any of the Bank Operations.
  • Put security measures in place to protect bank systems.
  • Ensure effective enterprise data backup management.
  • Install and configure Software and Hardware.
  • Responsible for managing, troubleshooting and proactively updating hardware amd software assets to prevent downtime or zero-day exploits from occuring.
  • Install, configure and upgrade Banking application and System environments whenever required.
  • Work with the information security office to ensure system compliance.
  • Constantly check on global threats to the computer system environments and put preventive measures against any threat.
  • Participate in the design, setup, implementation and testing business continuity  and disaster recovery installations with the bank.
  • Adhere to the bank's IT security policies, standards and procedures.
  • Test backup and fallback procedures  for all Business Systems.
  • Keep an inventory of accurate and up to date Server Assets and Systems.
  • Install, support and administer servers, printers and the PC Networks.

  • Regular review of GAB users  and server user profiles for all systems.
  • Ensure all changes are done  in an approved manner.

  • Manage and maintain all data centre standards, procedures, health and safety, and day to day infrastructure  performance issues.
  • Provide training to the users whenever applicable.
  • Quickly resolve any system  failures and troubleshoots issues and outages.
  • Upgrade systems with new releases and models.
  • Data center maintenance, i.e., AC, UPS, Power, Access, Fire suppression, alarms, Cleaning etc.
  • Set up accounts, databases, servers and workstations.
  • Monitor performance and maintain systems according to requirements.

  • Investigates, plans, implements, tests, and debugging, patching and upgrading base operating systems software & firmware.
  • Monitor & report performance of replication services between DC and DR sites. DR maintenance. Manage the configuration and operation of DC and DR servers.
  • Analysis and assessment of business needs and requirements versus system support.
  • Support system upgrades and apply fixes/patches related to infra unit. 
  • Assist in delivering system solutions and implement projects to meet business, operation and compliance objectives.
  • Follow-up audit findings, propose remediation and ensure rectification or mitigation be carried out successfully.
  • Prepares written materials (e.g. procedures, system level documentation, SOPs, reports, memos, letters, etc.) for the purpose of documenting activities, providing written reference, and/or conveying information.
  • Perform change management risk reviews and post implementation reviews for all change requests.

Education, Knowledge, skills and Experience required for this Role

  • University degree in Computer Science / IT related field, however, a Master’s degree in IT would be an added advantage.

  • Red Hat Certified System Administrator (RHCSA)
