JOB DETAILS:

Key Responsibilities
1. Delegate work to staff and manage their workload and output.
2. Supervise staff interactions and address their queries on office management issues.
3. Leading employee orientation and training programs.
4. Ensure peak operations for the organization and implement preventive measures for potential issues.
5. Manage the productivity of a multi-location team.
6. Implement policies and procedures, measure outcomes against standards, and improve operational flow.
7. Use a range of software, including email, spreadsheets, and databases, to ensure the efficient running of the office.
8. Manage online and paper filing systems.
9. Develop and implement new administrative systems, such as record management.
10. Checking and maintaining office supply inventory, identifying needs, acquiring supplies, and managing vendor relationships.
11. Compose a variety of documents such as meeting minutes, timesheets, narratives, etc.
12. Provide direct administrative support as needed, including scheduling appointments, meetings, and events; booking travel; mailing and shipping packages; and updating contacts database and employee lists.
13. Undertake additional tasks that support the management’s ability to effectively lead the organization, as required.

Essential Skills and Attributes
1. Proficient in using computer applications and software, such as Microsoft Office, and able to learn new technologies quickly.
2. Proficient in project management tools such as Click-Up, Asana, etc.
3. Working knowledge of human resources rules and regulations, as well as labor laws
4. Detail-oriented to ensure accuracy in tasks such as record-keeping.
5. Excellent organizational skills to manage multiple tasks and prioritize effectively.
6. Strong communication skills, both written and verbal, to communicate with employees and external parties.
7. Experience in developing internal systems.
8. Time management skills to ensure productivity and efficient use of time.
9. Strong interpersonal skills to work well with different personalities and establish positive relationships with clients and suppliers
