JOB DETAILS:
Main Duties & Responsibilities
• Undertake diverse administrative tasks for the MD’s office such as managing calendar of appointments; preparation of various administrative reports; managing correspondence; coordinating travel, itineraries and agendas among others within the expected standards and guidelines for the office.
• Research, prioritize, and follow up on incoming issues and concerns addressed to the MD and determine appropriate course of action, referral and/or response.
• Complete critical aspects of assignments, including drafting acknowledgement letters, correspondence, and other tasks that facilitate the MD’s ability to effectively communicate and lead the organization.
• Prepare and maintain the MD’s bio and keep it updated, respond to requests for materials regarding him and the organization in general in line with the requisite approvals and guidelines in the Bank.
• Facilitate seamless communication between the internal stakeholders, EMC members and the MD.
• Update the MD on the upcoming commitments and responsibilities, facilitate and follow up as appropriate.
• Participate as a member of assigned meetings and support in scheduling, coordination and preparation of minutes and follow ups for closure of deliverables.
• Draft assigned communication and responses from the MD’s office to internal and external stake holders.
• Maintain customer confidence and ensure an exceptional customer experience at the MD’s office at all times including managing executive guests to the office at the expected level of standards.
• Manage and ensure timely delivery of all special projects assigned from the MD’s office and communication of the same.
• Manage the MD’s dairy and appointments when out of office and manage communication effectively.
• Maintain a record of all outgoing and incoming mail and correspondence with confidentiality and within the expected standards.
• Ensure compliance with both internal and external regulatory requirements.
• Maintain confidentiality of the incumbent’s office in line with the Bank’s Non-disclosure agreements and best practices.
• To safeguard and promote the bank’s image with the internal customers and general public within the scope of customer service offered to visitors when they visit the MD.
• In addition to the above duties, the Executive Assistant may be required to perform.
• other related or unrelated duties based on the company’s needs.

Academic & Professional Qualification
• Bachelor’s degree in business administration, Public Relations or any business field from a recognized institution.
• Professional qualifications in a PR and Communications or Business Administration is an added advantage.

Work Experience & Skills
• At least three (3) years’ experience in administration/public relations at a senior level in an executive office environment.
• Demonstrable experience in an administration/executive assistant/PA role in a highly
• pressurized environment requiring tact, judgment and discretion in handling internal.
• and external contacts.
• Experience of diary management/researching and booking of travel and
• accommodation.
• Experience of successfully working with senior management.
• Experience of working in the financial institutions sector or related fields.
• Proficient in MS office applications and social media applications
• Attention to detail and deadlines.
• Ability to filter information and assess priorities and ability to handle confidential and sensitive matters.
• Ability to think ahead, anticipate needs before they arise and manage the same.
• Excellent organizational skills.
• Excellent interpersonal communication skills; verbal, written and presentation skills.
• Professional telephone etiquette.
• Willingness to work in a multi/diverse environment.
• Flexible and mature approach with ability to work unsupervised.
• Strong analytical, problem solving and decision-making skills.
• Time management.
