  • Payables Assistant

    Twiga Foods is looking for suitable candidates to fill the position of a Payables Assistant. The role holder will be accountable for ensuring accurate and timely processing of all invoices and credit notes received by the business.

    Key Responsibilities

    Execution of procure-to-pay process:

    • On a continuous basis post all supplier invoices and credit notes into appropriate ledgers and ensuring appropriate verification steps such as 3-way matching are applied.
    • On a continuous basis ensure all accounts forwarded for reconciliations have accompanying statements of accounts (both internal and supplier statements) to aid in reconciliations.
    • On a continuous basis manage the timeliness of payments by queuing up payments to be reconciled by age and prevailing limits & terms and trigger the payment process accordingly.
    • On a scheduled basis, trigger payment for due taxes (VAT, Withholding VAT, Withholding Tax, PAYE, Reverse VAT etc.) and any compulsory statutory payments e.g., NSSF, NHIF etc.)
    • Responsible for the initializing all out-going MPESA payments to suppliers, staff, farmers etc.

    Reporting process:

    • Supporting the monthly, quarterly, and annual management reporting with specific emphasis on physical vouching of documents.
    • Stakeholder Relations Management: Maintain continuous communication with internal and external stakeholder with prompt turn-around to queries regarding payments.
    • Document Management: ensure the safe and orderly archiving of all payment and payment related documents for the time required to meet audit, legal and tax queries.

    Cross-Team responsibilities:

    • Participate in the physical stock taking exercise in conjunction with the wider accounting team weekly /monthly.
    • Participate in the business wide Fixed Asset verification exercise on a quarterly basis.
    • Participate in interim and final statutory audit, tax audits and any other assessments the business may be engaged in with specific emphasis on physical vouching of documents.

    Minimum Qualifications And Experience

    • Have at least 2 years working experience in a busy accounting environment (with considerable exposure to high volume of payables accounting).
    • Have prior experience working with an ERP/Substantial accounting software.
    • Have a university degree in Business, Economics, or relevant field.
    • (CPA-part 2) or ACCA equivalent.
    • Have a good working knowledge of MS Excel skills.

     

    Cash & Bank Assistant

    Twiga Foods is looking for suitable candidates to fill the position of a Cash & Bank Assistant. the role holder will be accountable for responsible for organizing, initiating, and tracking all outgoing payment transactions in the defined manner for the purpose of proper payables and treasury management. The role holder will also be responsible for preparing the weekly bank reconciliations for all accounts, as well as preparing monthly cash forecast.

    Key Responsibilities

    Payment Execution: On a continuous basis:

    • Initialize all outgoing payments for fully reconciled and signed off payment reconciliations and ensuring appropriate and timely signatory approvals.
    • Perform posting of all completed payments into individual supplier ledgers against bank according to remittance advise provided.
    • Circulate to all internal and external payees, proof of payments supported by the remittance advise detailing the make-up of the payments.

    Treasury process:

    • Performing bank reconciliations to ensure accurate real-time balances and following up on any unreconciled amounts and irregularities.
    • Preparing a 90-day rolling cash forecast and highlighting any low cash balance instances on a timely basis.
    • Overseeing the adequate funding of all special purpose accounts (Mpesa, Salary etc) and ensuring all sweep instructions are carried out on a timely basis.
    • Initializing all foreign currency trades
    • Responsible for all account opening, amendment and closing processes.

    Reporting process:

    • Supporting the monthly, quarterly, and annual management reporting with specific emphasis on physical vouching of payment documents.
    • Stakeholder Relations Management: Maintain continuous communication with internal and external stakeholder with prompt turn-around to queries regarding payments.
    • Document Management: ensure the safe and orderly archiving of all payment and payment related documents for the time required to meet audit, legal and tax queries.
    • Ensure safe custody of bank statements, company cheque books, inward cheques and any bank correspondences.

    Cross-Team responsibilities:

    • Participate in the physical stock taking exercise in conjunction with the wider accounting team weekly /monthly.
    • Participate in the business wide Fixed Asset verification exercise on a quarterly basis.
    • Participate in interim and final statutory audit, tax audits and any other assessments the business may be engaged in with specific emphasis on physical vouching of payment documents.

    Minimum Qualifications And Experience

    • Have at least 1 years working experience in a busy accounting environment (with considerable exposure to high volume of payables accounting).
    • Have prior experience working with an ERP/Substantial accounting software.
    • Have a university degree in Business, Economics, or relevant field.
    • (CPA-part 1) or ACCA equivalent.
    • Certificate/Diploma in Monetary Studies/Banking an added advantage.
    • Have a good working knowledge of MS Excel skills

     

    Revenue Assistant

    Twiga Foods is looking for suitable candidates to fill the position of a Revenue Assistant. The role holder will be accountable for the revenue recognition and reconciliation process of the business as part of the wider Order-To-Cash execution. This position plays an assurance role over the timely and accurate coding classification, recording and billing of all revenue transactions, both trade and non-trade as well as ensuring all appropriate taxes have been accounted for.

    Key Responsibilities

    Revenue Assurance:

    • Responsible for revenue assurance across all income streams to the business through rigorous sales-to-volume-to-cost of sales reconciliations.
    • Responsible for tracking and accounting for all adjustments to revenues including credit notes, cash backs, refunds, rebates, discounts etc.
    • Responsible for applying and testing year end cut-off procedures to ensure matching concept is adhered to.
    • Responsible for ensuring that the revenue reported in the profitability reports reconciles with what is reported in the management accounts and reconciles further reconciles to sales ledger.

    New Revenue Streams & Other Income:

    • Responsible for ensuring that new business revenues are clearly identified, accurately mapped, classified and coded for tax and that corresponding cost of sales of also correctly mapped.
    • Responsible for ensuring that new products /Categories are classified to the correct category to ensure accurate category revenue is captured.
    • Responsible for creating new customer master data and new payment accounts for new routes (M-pesa tills).

    Tax Compliance:

    • Responsible for timely and accurate billing of all sales and issuing of Tax compliant invoices.
    • Responsible for the proper functioning of the Electronic Tax Register/ Electronic Signature Devices to generate tax compliant invoices.
    • Responsible for reconciling Output VAT for the monthly filing of company VAT.

    Reporting process:

    • Supporting the monthly, quarterly, and annual management reporting with specific emphasis on revenue reconciliations and analysis.
    • Stakeholder Relations Management: Maintain continuous communication with internal and external stakeholder with prompt turn-around to queries regarding billings/invoicing.
    • Document Management: ensure the safe and orderly archiving of all invoices issues and output tax records for the time required to meet audit, legal and tax queries.

    Cross-Team responsibilities:

    • Participate in the physical stock taking exercise in conjunction with the wider accounting team weekly /monthly.
    • Participate in the business wide Fixed Asset verification exercise on a quarterly basis.
    • Participate in interim and final statutory audit, tax audits and any other assessments the business may be engaged in with specific emphasis on revenue and VAT reconciliation and analysis.

    Minimum Qualifications And Experience

    • Have at least 2 years working experience in a busy accounting environment (with considerable exposure to high volume of billing/customer invoicing).
    • Have prior experience working with an ERP/Substantial accounting software.
    • Have a university degree in Business, Economics, or relevant field.
    • (CPA-part 2) or ACCA equivalent.
    • Revenue Administration Certification/Diploma from Kenya School of Revenue Administration (KESRA) is an added advantage.

    Accounts Clerk

    Twiga Foods is looking for suitable candidates to fill the position of an Accounts Clerk. the role holder will be accountable for handling documentation within the payables sub-section of the accounting team, including but not limited to receiving, categorizing, matching, filing, queuing and vouching documents. The role holder will also be accountable for facilitating movement of payment related source documents from all operational locations to the central payment desk.

    Key Responsibilities

    Payment process:

    • Responsible for initial receipt of invoices, credit notes, debit notes supplier statements and any other supplier source documentation, from the various operating locations and functions within the business and collating by supplier, by category and by age, for purpose of facilitating approval, posting and prioritization of payments.
    • Responsible for managing the main payables inbox and responding to designated queries.
    • Responsible for the priorization and sequencing of payments by selectively forwarding due invoices to payments desk for posting and onward for reconciliation.
    • Responsible for the dual system of both soft and hard copies for all source documents.
    • Responsible for requesting additional or missing documentation to support the payables team.

    Reporting process:

    • Supporting the monthly, quarterly, and annual management reporting with specific emphasis on document vouching.
    • Stakeholder Relations Management: Maintain continuous communication with internal and external stakeholder with prompt turn-around to queries regarding payments.
    • Document Management: Responsible for the safe and orderly archiving of all payment related documents for the time required to meet audit, legal and tax queries. Key liaison with 3rd party archiving partner.

    Cross-Team responsibilities:

    • Participate in the physical stock taking exercise in conjunction with the wider accounting team weekly /monthly.

    Minimum Qualifications And Experience

    • Fresh graduate with previous experience as Intern/attachment in a busy accounting environment.
    • Have a university degree in Business, Economics, or relevant field.

    Payables Accountant

    Twiga Foods is looking for suitable candidates to fill the position of a Payables Accountant. The role holder will be accountable for organizing payables transactions within the business in a manner that facilitates efficient, timely and accurate measurement, classification, recording, and payment processing for purpose of meeting all company payment obligations.

    The role holder will be accountable for ensuring accurate and timely payments of all company obligations to suppliers, farmers, agents/brokers, debt partners, government and compliance bodies, Kenya Revenue Authority, and staff as per the set-out service levels, credit terms / limits and statutory deadlines and as well to manage the relationships with our business creditors.

    Key Responsibilities

    Execution of procure-to-pay process:

    • On a continuous basis ensure that all supplier invoices and credit notes have been posted into appropriate supplier ledgers, general ledger accounts and against correct cost centres.
    • Perform accounts payables reconciliation against supplier statements, highlighting any reconciling items for follow up and resolution.
    • Ensure strict adherence to the organization’s Delegation of Authority matrix.
    • Monitoring expense postings against budget, analysis and escalating any variance for approval before payments are made.
    • Executing payments according to the set schedule and in alignment to monthly cash forecast.

    Tax Compliance:

    • Responsible for proper capture and accounting for relevant input taxes (i.e., VAT, Withholding VAT, Withholding Tax, PAYE, Reverse VAT, Customs & Excise duties etc.)
    • Responsible for preparation of VAT /Withholding Tax Returns in a timely and accurate manner (including all other relevant compulsory statutory payments e.g., NSSF, NHIF etc.) as per the required timelines.
    • Responsible for VAT-to-Purchases Ledger reconciliations and addressing any variances on ITAX.
    • Reporting: Providing assigned reports and audit scheduled to support the monthly, quarterly, and annual reporting process with specific emphasis on the accruals & prepayments schedules, VAT-to-Purchases Ledger reconciliations and Accounts Payables reconciliations and ageing reports.
    • Responsible for variance analysis for Indirect spend/Operating Expenditure (OPEX).

    Stakeholder Relations Management:

    • Maintain continuous communication with internal and external stakeholder with prompt turn-around to queries regarding payments.

    Document Management:

    • Uphold controls over source and payment documents and overseeing the safe and orderly archiving of all payment and payment related documents for the time required to meet audit, legal and tax queries.

    Cross-Team responsibilities:

    • Participate in the physical stock taking exercise in conjunction with the wider accounting team weekly /monthly.
    • Participate in the business wide Fixed Asset verification exercise on a quarterly basis.
    • Participate in interim and final statutory audit, tax audits and any other assessments the business may be engaged in.

    Minimum Qualifications And Experience

    • Have at least 4 years working experience in a busy accounting environment (with considerable exposure to high volume of payables accounting).
    • Have prior experience working with an ERP/Substantial accounting software.
    • Have a university degree in Business, Economics, or relevant field.
    • Be a qualified Accountant (CPA-K), ACCA or CIPS equivalent.
    • Have a good working knowledge of MS Excel skills and a strong ability in using other MS Office applications.
