JOB DETAILS:
Kenya: Finance and Administration Officer .

  Job Responsibilities:
Under the direct supervision of the Representative and the Deputy Representative, Finance and Administration Officer is responsible for the following duties and responsibilities;
Financial Management and Human Resources
• Oversee and check day-to-day accounting processes and procedures.
• Oversee and check all payments and financial documents, including month-end bank reconciliations and journal entries, by using online banking and accounting book.
• Oversee and check if petty cash is accounted on a weekly or monthly basis.
• Complete monthly accounting report to HQ on time.
• Compile and distribute financial reports as requested by the Representative and the Deputy Representative.
• Process monthly payroll for local staff on time; ensure statutory deductions (tax, etc.) are remitted to relevant authorities on time.
• Ensure every eligible staff member is covered with supplementary insurance, i.e. Work Injury Benefit Act (WIBA) and corporate medical insurance.
• Monitor and track project budgets and make budget forecasts.
• Ensure annual financial statements are properly prepared in time for the official external audit.
• Assist the Representative and the Deputy Representative in developing and analyzing organizational/project budgets.
• Manage the organization’s bank accounts and communicate with bank officers in a professional manner.
• Communicate with accounting staff at Tokyo HQ as required.
• Train, mentor and supervise the Finance & Logistics Assistant.
Office Maintenance
• Ensure that office premises are rented and insured at reasonable price in line with donor regulations.
• Ensure that all office equipment is serviced regularly and in good conditions.
• Ensure timely and cost-effective maintenance of the office premises in coordination with the Finance & Logistics Assistant.
• Update status and records of asset lists.


  Job Skills:
• Excellent technical financial management skills, including the ability to understand and work with externally funded projects
• Good understanding of financial management policy frameworks and the ability to achieve compliance
• Ability to manage, guide and lead other staff members to ensure appropriate financial processes are being used
• Strong interpersonal, communication and presentation skills;


  Job Qualifications:
• University Degree in accounting, finance, business administration or an equivalent degree;
