JOB DETAILS:
FIC: Forum for International Cooperation is a Danish development organisation that is also registered in Kenya for the East Africa programmes. Currently, FIC operates in Kenya and Tanzania with possibility of expansion to Uganda and Rwanda.
FIC works towards combating poverty and improving the living conditions by strengthening the capacity of civil society organisations that contribute towards creating improved employment conditions and employment opportunities for poor and vulnerable social groups.
To implement the programmes FIC works with local civil society and trade union partners who are directly responsible for the programme primary target group. The civil society partners are mainly youth organisations who are responsible for the component of youth employment, while the trade union partners are implementing programme towards improving working conditions for workers.
The regional office in Nairobi is directly responsible for East Africa strategy. There are four staff comprising two programme managers, one programme coordinator and one finance and administration officer. One programme manager also doubles line manages the secretariat in Kenya. Each of the programme managers is in charge of respective components, while the programme coordinator is also in charge of Monitoring and evaluation.
The programme staff works to ensure that the programme being implemented through partners achieve the planned objectives within the budget allocated. Capacity building marks an important component to ensure partner organisations are effective and will sustainably continue building their effectiveness beyond the project period.
The office in Nairobi is responsible for the regional partnership with local civil society organisations and development partners that work locally.
The role of the Finance and Administration Officer
The Finance and Administration Officer works at the office in Nairobi and supports the youth organizations and the trade union partners in Kenya and Tanzania initially with possibility of expansion within the same countries and in Uganda and Rwanda. Below are the key tasks and the specific responsibilities of the administrator:
The Finance and administration officer has the overall responsibility for maintaining finance and accounting as well as administration for the Nairobi secretariat. .
Job Responsibilities:
Finance & administration tasks for the Nairobi secretariat
• Submit the FIC Kenya returns to the government
• Submit statutory deductions for FIC Kenya staff
• Cash management
• Prepare the books for yearly audit for FIC Kenya
• Do time registration of FIC Kenya end report to FIC, Denmark
• Ensure that the economy of FIC Kenya is in balance and elaborate financial reports and statements for FIC Kenya
• Ensure that a revised annual budget is carried out for the program at the beginning of each year.
• Ensure that an annual financial program report is carried out at the end of each year.
Responsibilities with FIC partners
• Make sure that the quarterly financial reports and budget requests are submitted on time by the partners
• Advise the partners on FIC financial policy and procedures for reporting and utilisation of programme funds
• Capacity building of partners in Financial management with the aim of improving the partners’ effectiveness in accountability and efficient use of their resources
• Consult with FIC finance department on the quarterly financial reports and budget requests and provide feedback to the Programme managers
• Compile the income reports from the partners; submit timely budgets and financial reports to FIC Denmark on a quarterly basis.
• Ensure that funds are transferred to the partners on a quarterly basis (based on approved financial reports and budget requests).
Office Administration
• Line manage Office Assistant in line with Office Management responsibilities, including:
• Ensure documentation and filings
• Manage travels and logistics for FIC staff in Nairobi and as directed
• Updating FIC Nairobi staff files: contracts, medical cover
• Office supplies and equipment maintenance

Job Qualifications:
• Adequate educational background: Bachelor in financial accounting/financial management and at least CPA 2.
• Proven experience from accounting in similar project or program
• Proven skills in application of excel and/or accounting system
• Experience in general administration
• Able to maintain the overview of many different activities
• Effective in communication (verbal and written) and inter-personal skills
• Experience in coaching or facilitation in financial management
• Effective in planning and keeping to deadlines.
