JOB DETAILS:
The Organization of Eastern and Southern Africa Insurers is a Member-Based Insurance organization that aims to promote the business and practice of insurance across Eastern and Southern Africa. The principal activity of the Organization of Eastern and Southern Africa (OESAI) is to encourage and enhance co-operation in the field of insurance and reinsurance and their related activities among companies operating in the Eastern and Southern Africa Region.
We currently have an exciting career opportunity for Finance and Administration Assistant. The post holder will report to the Finance and Administration Manager with a dotted reporting line to the Secretary General based in Nairobi Kenya.

Role Purpose
Compiling information needed to prepare entries for the Organization accounts and document business financial transactions in accordance with International Financial Reporting Standards (IFRS). The role is also responsible for managing the Schedules, Dairy and Communications of the Secretary General.

Responsibilities
• Preparing financial statements, reports, memos and other documents.
• Preparing and sending out invoices and following up on debtors.
• Researching and conducting data to prepare documents for review and presentation by Boards of Directors, committees, and executives.
• Filing, maintaining and ensuring safekeeping of all cashbooks, ledgers, journals, receipts, schedules, letters and all documents in the organization.
• Handling and administration of petty cash
• Serve as a secretary of committee in staff meetings at the Secretariat
• Ensuring high standards of office cleanliness, hygiene and tidiness
• Ensuring that the office runs effectively and efficiently - that office equipment in in good condition
• Perform the role of a Personal Assistant to the Secretary General by maintaining the SG’s diary
• Handling of visitors in the office
• Organizing for staff, board members and guests visas, hotel bookings, and airport transfers
• Supervising the office driver/office assistant and overseeing the office messenger services
• Carrying out secretarial duties such as drafting routine correspondence and handling incoming and outgoing calls
• Taking care of all official appointments at the Secretariat, during conferences, market visits etc.

Qualification and Experience
Academic Qualifications
Bachelor’s degree in Accounting/Finance or any business-related field from a recognized University and at least CPA Part 1.

Relevant Experience
• They should have at least 2 years-experience in finance and office administration experience and a thorough understanding of International Financial Reporting Standards (IFRS)
• In addition, they should have the ability to meet strict deadlines and work without supervision, have excellent knowledge and hands-on experience in operating MS Office Suite
• Should have excellent interpersonal and communication skills with the ability to work under pressure to meet deadlines
