JOB DETAILS:
Executive Assistant

We are seeking candidates for an exciting opportunity as an Executive Assistant at our Nairobi, Kenya office. The Executive Assistant will proactively provide executive level support to key leaders, including the Chief Program Officer, Head of Spiritual Ministry, and Head of Nursing, Quality & Patient Safety. The primary responsibilities include maintaining schedules, coordinating with internal and external stakeholders, providing logistical and travel support in coordination with the CURE Travel Desk, and working on operations-related projects.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
• Complete a broad variety of administrative tasks including managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; maintaining executive files, arranging detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
• Anticipate the needs of office executives and proactively bring together appropriate people and resources to support the executives in addressing issues.
• Manage external contact by proactively understanding who they are and keeping track of periodic communication needed for primary contacts.
• Organize and coordinate the flow of information to and from the regional office and across the functional departments.
• Assist in the determination of appropriate courses of action, referrals, or responses.
• Coordinate budget activity through tracking, reconciling, and processing payment requests, credit card purchases, reimbursement claims, and budget reports.
• Facilitate special projects by providing support for complex planning and execution.
• Prioritize conflicting needs, handle matters expeditiously & proactively, and follow through on projects to successful completion, often with deadline pressures.
• Prepare office executives for their meetings with donors, partners, and board members by providing preparatory information and accompanying them to such meetings when necessary.
• Frequently compose, proofread, and finalize complex correspondence, documents, meeting minutes, reports, and board meeting materials.
• In collaboration with the CURE Kenya hospital HR Manager, ensure the regional co-workers and the office are in compliance with local legal requirements.

EDUCATION/EXPERIENCE/SKILL REQUIREMENTS:
• Bachelor’s degree in Business Management or other relevant field.
• Minimum 3 years of senior executive/personal assistant level administrative support experience.
• Fluency in English is required.
• Demonstrated experience with managing communications (written correspondence and verbal interactions) with key individuals and organizations.
• Strong computer skills, including a strong working knowledge of Google Workspace, Microsoft Word and Excel.
• Experience with international travel and communication processes.
• Relationship management experience.
• Project/task management experience.
• High attention to detail, strong problem-solving skills, and ability to prioritize
• Excellent interpersonal skills.
• Demonstrated proactive and anticipatory approach, including the ability to to exercise excellent judgment in a variety of situations while maintaining an energetic, poised, and positive demeanor
