Job Title Deputy Director, Administration And Property
Reports To DIRECTOR CORPORATE SERVICES
Job Purpose
Reporting to the Director Corporate Services, the successful candidate will be responsible for developing and implementing effective administrative policies, procedures, and processes.
Responsibilities
1.1. Implementing Administration and property management policies, strategies, procedures, and guidelines of the Authority;
1.2. Coordinating the day-to-day administrative activities of the Authority;
1.3. Establishing and maintain a catalogue of all Authority’s Assets and
1.4. Properties;
1.5. Preparing and implementing a maintenance schedule of all Assets in the Authority;
1.6. Managing and preparing schedule for assets (building, furniture, fittings among others);
1.7. Identifying unserviceable and obsolete assets for disposal;
1.8. Coordinating and overseeing the implementation of the recommendation of work environment surveys so as to improve the work conditions of the Authority;
1.9. Fleet management;
1.10. Managing of office space;
1.11. Managing of outsourced administrative services;
1.12. Acquiring land space for the expansion of regional offices and distribution zones;
1.13. Setting up, operationalizing, and providing support services during occupation of premises including routine maintenance, redecoration, workplace safety, furnishing, equipping, housekeeping, courier, telephony, beverages amongst others;
1.14. Carrying out planned preventive maintenance and corrective works to buildings and the built environment as well as the plant and equipment therein;
1.15. Co-ordinating the implementation of effective maintenance, storage and security of files and records to ensure integration and confidentiality of data and information;
1.16. Carrying out land use plans and space plans and facilitating use of Authority’s
1.17. property in sustainable way; and
1.18. Ensuring complying with statutory and regulatory requirements regarding building and construction.
Qualifications
2.1. Bachelor’s degree in any of the following disciplines: - Public Administration, Business Administration, Political Science/Government, Anthropology or equivalent qualification from a recognized institution;
2.2. Master’s degree in any of the following disciplines: - Public Administration, Business Administration, Political Science/Government, Anthropology or equivalent qualification from a recognized institution;
2.3. Certificate in Management Course lasting not less than four (4) weeks from a recognized Institution; Membership to a professional body where applicable; 2.4. Proficiency in computer applications from a recognized institution; and
3.1. A minimum period of ten (10) years in relevant work experience and at least three (3) years in a Supervisory position in the Public Service or Private Sector;
