JOB DETAILS:
DUTIES/RESPONSIBILITIES
• Provide timely assistance in administration of the procurement processes in compliance with CFI Procurement policies.
• Coordinates with program and sponsorship staff on project procurement needs, specifications, availability, timing and requirements.
• Administer the transactional procurement activities including prequalification of suppliers, tender processes, evaluation and payment.
• Assist in contract drafting & administration.
• Work with program staff to consolidate procurement plans on quarterly basis, and track progress on monthly basis.
• Advise requisitioning units/users on the full range of procurement services, and provide support at all stages of the procurement cycle.
• Provide support to the Procurement committee and ensure proper record keeping of proceedings.
• Assist in the preparation of procurement related documentations.
• Ensure proper recording and custody of all procurement document and records.
• Track the workflow in e-procurement system
• Process invoices for payment in e-procurement
• Check quality of deliverables and ensure procured items are as per specification or contract agreement.
• Maintain regular information across teams about stock levels & expected lead-times.
• Manage periodic inventories, stock clearance and investigations over discrepancies.
• Build the capacity of the program staff in procurement processes and ensure adherence to CFI policies and procedures.
• Ensure timely distribution of goods purchased for the relevant offices/sites, and issue waybills for distribution.
• Any other additional duties as may be required to support the Administration office.
Child Safeguarding
• Remain alert and responsive to any child safeguarding risks, acquire relevant knowledge and skills which will enable you to promote strong safeguarding practices, understand the child safeguarding policy and procedures, and conduct yourself in a manner consistent with the Child Safeguarding Policy-
• Reinforce and ensure compliance with policies and procedures in child safeguarding
QUALIFICATIONS & EXPERIENCE
• Bachelor's degree in Business Administration, Procurement or Supply Chain Management.
• Procurement certification is required.
• Accounting background is an added advantage.
• At least 3-5 years' work experience in procurement in medium to large organisations.
• Experience of working with donor or grant funded projects.
• Strong understanding of procurement best practice, internal controls and segregation of duties.
• Proficiency in procurement software systems.
• Ability to deliver high quality work within tight deadlines
• Proven ability to work independently and with minimum supervision.
