Location: Nairobi, Kenya
We are seeking an individual who is passionate about making a difference, possesses exceptional attention to detail, and thrives in an entrepreneurial, global setting. The Administrative Lead will manage day-to-day office operations in Nairobi, Kenya. He/she will oversee general office administration and operations which include petty cash management, leading immigration processes, owning relationships with vendors, purchasing office supplies and equipment, and maintaining proper stock levels.

About the Admin Lead
Responsibilities:
• Oversee general office administration and operations; supervise the caretaker, cleaning officers and administrative assistant as applicable
• Provide executive administrative support to the East Africa Regional Director and the Regional Operations Leads
• Supervise, mentor, train, and coach administrative staff if any, and delegate assignments to ensure maximum productivity when applicable.
• Ensure the organization meets all local compliance requirements.
• Liaise and be the primary point of contact for the accountant/compliance firm.
• Liaise, as needed, with the bank
• Liaise with IDinsight Africa and Global Operations on global procedures and policies
• Coordinate employment contracts with compliance firm; track contract start and end dates for all necessary employees
• Lead all Kenya office immigration processes (for example, visas, employment permits, etc.)
• Purchase office supplies and equipment and maintain proper stock levels
• Manage petty cash for the office
• Produce reports, compose correspondence, and draft new contracts
• Maintain office services by organizing office operations and procedures; controlling correspondence; designing filing systems; reviewing and approving supply requisitions; manage all clerical functions.
• Provide historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records.
• Maintain office efficiency by planning and implementing office systems, layouts, and equipment procurements.
• Design and implement office policies by establishing standards and procedures; measuring results against standards; making necessary adjustments.
• Help manage office culture and morale; help new staff acclimate to life with IDinsight Senegal.
• Own relationships with vendors (for example, internet providers, landlords, etc.)

Minimum Qualifications
Knowledge, skills, and abilities
• 3-5 years of relevant experience in administrative work, e.g., experience managing office operations and procedures, including correspondence with vendors, banks, and service providers.
• Bachelor’s degree in Business Administration, Human Resource, Management, or any other related field
• Knowledge and experience with the Kenya immigration processes
• Strong written and verbal communication skills in English
• Proficient in computer applications such as word processing, spreadsheets, database management, email, and utilization of internet

Preferable qualifications
Experience working in an administrative capacity in an international organization

Work Location:
This position will be based in Nairobi, Kenya.
