Stock Accountant

Job purpose

The overall purpose of this job is to ensure proper management of the company’s inventory/ stock items, maintain and update the stock records, conduct physical stock counts, perform regular stock reconciliations and monitor stock transactions.

Key duties and responsibilities 

  • Implement and enforce inventory policies, procedures, ERP workflows and internal controls.
  • Plan, supervise and coordinate the period stock take exercises.
  • Conduct random stock checks to confirm stock levels, expiry dates and any other anomalies and take appropriate action.
  • Identify and resolve causes of inventory variances/discrepancies.
  • Collate, document and report all variances reported during receipt of goods from suppliers and ensure proper adjustments are done after approval.
  • Perform monthly stock reconciliations of physical counts against the system for all categories of inventory and highlight variances.
  • Assist in the implementation and improvement of internal control systems and procedures to reduce theft, damage,breakage and inventory obsolescence.
  • Conduct regular review and reporting on inventory ageing analysis report and take appropriate/recommended actions.
  • Handle and document approved non-routine inventory transactions i.e. stock adjustments.
  • Monitor all inventory related transactions on the ERP to ensure proper recording, completion and clean-up of incomplete transactions i.e. transfer orders, purchase orders and sales orders/return orders.
  • Analyze inventory trends and consumption rates and advise accordingly.
  • Manage the monthly financial close for inventories.
  • Any other duties that may be assigned by the immediate supervisors from time to time.

Knowledge, experience and qualifications required

  • Bachelor’s degree in Business Administration, Economics, Finance or other business related fields from a recognized institution.
  • Must be a qualified accountant with relevant professional qualifications such as Certified Public Accountant (CPA-K) or ACCA.
  • Minimum of 2 years’ experience

Laboratory In Charge

Job Purpose

The overall purpose of this role is to manage the delivery of efficient and quality laboratory services in the hospital in line with established protocols and the Hospital’s patient care objectives.

Key duties and responsibilities.

  • Review and ensure adherence to laboratory protocols, standards and techniques for analysis of specimens in consultation with other clinical departments in order to ensure quality laboratory services in the hospital;
  • Participate in the development of standards, procedures, techniques for analysis of specimens and in the medical laboratory;
  • Recommend technical requirements for laboratory operations to the Director Medical Services;
  • Ensure that the laboratory operations comply with all legal requirements by the Kenya Medical and Laboratory Technicians Board and waste disposal requirements;
  • Prepare the department to meet the requirements for audits and follow up to ensure audit recommendations are fully implemented;
  • Validate laboratory equipment as per manufacturer requirements to ensure required standard levels are met;
  • Identify professional development gaps and ensure implementation of appropriate professional development interventions for the laboratory team in order to ensure the team has the right skills and exposure to best practices;
  • Liaise with section heads for orders on consumables as required on a day to day basis;
  • Ensure preparation of the department’s staff duty roster
  • Assess the quality of reagents and consumables required for the laboratory in liaison with procurement department and participate in the tendering process specification to define the reagents and consumables schedule requirements;
  • Keep abreast of local and global best practices in laboratory services and make recommendations to the Director Medical Services on how these impact the hospital;
  • Prepare the laboratory services income and expenditure budget and monitor its implementation upon approval;
  • Deploy and motivate the laboratory team including performance appraisal, identification of training needs, mentorship and coaching as well as leave and absence management in line with the hospital’s people agenda;
  • Act as the laboratory superintendent;
  • Plan and chair departmental meetings;
  • Prepare and submit monthly, quarterly and annual reports; and
  • Any other responsibilities that may be assigned to the jobholder by the supervisor from time to time.

Knowledge, experience and qualifications required

  • Degree in Science Laboratory Technology from a recognized institution.
  • Must be registered with the Kenya Medical Laboratory Technician Board and hold a valid practicing licence
  • Minimum of 4 years’ experience as Laboratory Manager or In Charge.

Head of Medical Services

Job Purpose

The overall purpose of this job is to provide leadership and management oversight support in the medical services division to ensure delivery of efficient and patient centric medical services in line with hospital policies and procedures and external regulatory bodies

Key duties and responsibilities

  • Participate in the development and implementation of the medical services strategy in line with the Hospital’s strategic plan;
  • Lead the development and review of policies, procedures, standards, and patient plans of care on behalf of the department as a multidisciplinary team leader;
  • Lead performance improvement activities within the assigned units and serve as a representative on interdisciplinary teams;
  • Assist in the supervision of professional conduct of clinical staff and ensure adherence to standards of behaviour and compliance while engaged in care delivery;
  • Assess and recommend to the Director Medical Services external options for needed patient care services.
  • Drive the development of new services;
  • Monitor, evaluate, and act to improve the quality of medical care rendered in the Medical Services department;
  • Ensure that the admission and discharge criteria for medical patients are adhered to;
  • Participate in the utilization review process by involvement in the collection and analysis of data related to medical care;
  • Organize regular departmental meetings and use the forum to build consensus and agreement around departmental directions and strategies;
  • Prepare and recommend divisional budget content and help to monitor expenses for compliance;
  • Attend all required safety training programs and can describe his or her responsibilities related to general safety, department/service safety, and specific job-related hazards;
  • Ensure strict adherence to infection control protocols;
  • Demonstrate respect and regard for the dignity of all patients, families, visitors, and fellow employees to ensure a professional, responsible, and courteous environment;
  • Build, lead and motivate a competent team of medical specialists that will in turn ensure that the division has the right people in the right places to sustainably support the delivery of medical care at the Hospital; and
