About the Job:
• Sama is a worldwide technology company and is looking for an enthusiastic and innovative People Operations Coordinator to join our People Operations Team. Our focus is on supporting and putting the employee first.
• You will serve as a key partner to the Senior People Operations Manager and report directly to this role.

Key Responsibilities:
Compliance

• Provide input into HR policy and procedure formulation, implement ,interpret and ensure effective and proactive communication on policies, procedures and systems. Follow up to ensure adherence to policies and procedures.

Ensuring statutory Compliance ( KRA PIN, NHIF, NSSF).
• Immigration Support Services: Take lead in facilitating, coordinating and organizing e- visa work visa, special passes and work permits for expatriate staff.
• Communicating with relevant agencies and keep abreast with changes in processes at the Ministry or Foreign Affairs and Immigration and provide timely responsiveness.
• Incharge of employees and HR shared departmental records and SOW audit requirements and adherence.

HR reporting
• HR Data and analytics such as updating and reporting on staff movements and Headcount Reports.
• Track various employee impact metrics for HR reporting; Prepare HR and management reports on regular and adhoc basis.
• Payroll & Benefits Administration: monthly payroll data, benefits administration, run rewards and recognition programmes.
• Employee Relations: Actively scale employee relations by aligning staff to the business objectives; through amicable dispute resolution and managing disciplinary issues.
• Support managers during change management and doing pulse checks on staff satisfaction around big changes.
• Interacts with all stakeholders in ways that demonstrate respect of social and cultural differences, and a commitment to challenging attendant social inequities.
• Contract & Performance Management
• Contract tracking, conduct and support probation evaluations, follow up on confirmation of employment. Direct involvement in the performance management process to enhance employee experience.
• Human Resource Administration : Point of Contact for all HR matters relating to the project.
• Run a robust onboarding and offboarding program to enhance learning culture and promote employer brand.
• Assist in recruitment efforts, responsible for leave management: policy application, support, reconciliation and reporting.
• Covid 19 Management support in line with the wellness team.

Minimum Qualifications:
• 5+ years of experience of which 2 are in a similar/related position.
• Bachelor’s degree in Business, HR or related discipline or the equivalent experience
• Member of IHRM
• Experience in tech, with data analysis, data driven decisions, HR databases and HRIS systems
