JOB DETAILS:
Office of the Registrar of Political Parties (ORPP) is a state office established under Article 260 of the Constitution of Kenya, 2010, and the Political Parties Act, 2011. The mandate of the office, among others is to regulate the formation, registration, and funding of political parties in accordance with the Constitution and rule of law. The Act is the primary legal reference for management of political parties in accordance with Articles 91 and 92 of the Constitution, which envisages well governed political parties that respect internal democracy and their constitutional status in the Kenyan political system.
GRADE ORPP 6 .
Duties and Responsibilities
• Prepare responses to simple routine correspondences;
• Receive and process correspondences and make follow-up on action;
• Process and format documents for printing;
• Maintain office diary and protocol;
• Handle telephone calls and appointments;
• Ensure security of office records, documents and equipment;
• Attend to visitors/clients;
• Plan and schedule meetings;
• Arranging conference rooms for meetings and trainings, drafting letters;
• Minute taking and report writing;
• Hotel reservations and flight booking; and
• Any other functions as may be assigned from time to time.

Requirements
For appointment to this one must have:-
• Served in the grade of Office Administrator II or a comparable and relevant position in the public or private sector for a minimum period of three (3) years;
• Diploma in Secretarial Studies from the Kenya National Examinations Council;
• Certificate in Secretarial Management Course lasting not less than four (4) weeks from a recognized institution;
• Certificate in Public Relations and Customer Care from a recognized institution;
• Certificate in Computer Application Skills from a recognized Institution; and
OR
• Business Education Single and Grade Certificates (BES &GC) Stages I, II and III from the Kenya National Examinations Council in the following subjects;
o Shorthand III (minimum 120 w.p.m.);
o Typewriting III (50 w.p.m.);
o Certificate in Computerized Document Processing III;
o Business English III/Communications II;
o Commerce II;
o Office Practice II; and
o Office Management III/Office Administration and Management III.
• Certificate in Secretarial Management Course lasting not less than four (4) weeks from a recognized institution;
• Certificate in Public Relations and Customer Care from a recognized institution;
• Certificate in Computer Application Skills from a recognized Institution; and
• Shown merit, ability and competence as demonstrated in work performance and results.
OR
• Bachelor’s degree in any of the following: Secretarial Studies or Business and Office Management from a recognized institution or it’s equivalent;
• Certificate in Public Relations and Customer Care from a recognized institution;
• Certificate in Computer Application Skills from a recognized Institution; and
Terms of Service
The successful candidate will serve on pensionable terms.
