JOB DETAILS:
Serengeti Energy is seeking to hire a Manager - Administration, Communication and Events to manage all office administrative duties, ensure the smooth running of the office and provide quality service to all clients. Additionally, the job incumbent will also be responsible for events management, creating informative content, press releases, articles, and utilizing media opportunities to share our company’s brand, products, and services.

Roles and Duties
• Facility management
• Provide facilities and equipment maintenance to ensure the company maintains a high level of work environment for the team and that policies and procedures are followed
• Support health and safety initiatives and ensure our facility is compliant with all necessary regulations and ensure all permits and licences are up to date
• Manage contractors as a company representative to ensure cost effective, timely and technically correct repairs of facilities
• Interact with the cleaning vendor to ensure office cleanliness, cost effective procurement of cleaning services, building supplies etc
• Provide effective hands-on general maintenance of the facility to include simple repairs and replacement of light bulbs, ceiling tiles, painting, air filters etc
• Manage the reception team and ensure the front office is well managed.
• Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
• Manage and properly account for petty cash issued to facilitate general office activities.
• Working with finance, responsible for office administration payments within approved expense limits and they are made within reasonable time to ensure business continuity (office courier service, office telephone, office cleaning services, office utility bills (power, water, Wi-Fi, security).
• Maintain and file all business records in a systematic manner.
• Events and team support
• Create event proposals which fit company requirements and presenting proposals to discuss and plan event specifications such as scope, format, budget, administrative details, and special requirements.
• Plan and organize events in accordance with financial budgets and time requirements in all the regions.
• Communicating with marketing team to create effective advertisements for each event, and when necessary, crafting marketing materials such as print and Internet advertisements for individual events.
• Evaluate potential locations, providers, vendors, and other professionals frequently to determine viability for future events
• Communicate directly with the management throughout the event planning process to learn requirements and goals, coordinate guest list and vendor specifications, and ensure all parties understand relevant information and details
• Analyse and evaluate event’s results and give a report
• Liaise with all the hotel and flight agents together with the team support assistant and ensure contracts are in place and renewed annually.
• Ensure all travel logistics are coordinated on a timely basis and in accordance with laid down policies and procedures

• Communication
• Conceptualize and develop contents for the website and different social media platforms. Write and edit stories, scripts for videos, blogs etc., and periodically update all external facing materials.
• Provide support in planning and implementation to achieve communications and marketing objectives of Serengeti’s entities. Support country teams to ensure brand consistency, boost media engagement through effective PR, and organise campaigns to enhance visibility of the Serengeti’s brand in all countries.
• Support communications needs of CEO and ExCom by developing presentations, talking points for interviews and editorials.
• Develop departmental reports, ToRs, budgets, and track performance through periodic communication audits.
• Collaborate with other teams to identify the public voice of the brand; create style guides and brand voice that defines our public relations, marketing, advertising, and public image.
• Consult with executive management to develop effective communication procedures and policies. Discuss company issues with interdepartmental staff and management and enlist procedures to tackle them.
• Draw up promotional plans with relevant stakeholders to enhance brand visibility; Communicate with media outlets and journalists and create press kits.
• Draft press releases and speeches following organizational news; write letters, interdepartmental memos, and other business correspondences including varied material such as articles, notices, and web content for increasing company’s reach to the public.
• Perform communications research and monitor the progress of various communications strategies.
• Draft and revise project presentations, and enterprise ideas for company communications.
• Represent company in print and electronic and social media; supervise edition of company newsletters and magazines.
• Other responsibilities that may be assigned to the job holder by the supervisor from time to time.

Knowledge/Experience
• Bachelor’s Degree in a Business-related field or any other equivalent field.
• Minimum of 6-year experience
• Marketing/Communications/Event experience a plus.

Competencies
• Project management skills: Ability to plan, manage and deliver high profile company events.
• Must possess excellent communication and interpersonal skills.
• Strong prioritization and administrative skills & must demonstrate the ability to move with speed and handle multiple tasks at once.
• Excellent organizational skills with a keen attention to detail
• Thorough knowledge of customer service, office management and basic bookkeeping procedures.
• The ability to create a positive, everlasting impression with the most professional, courteous, and expedient manner and to continually strive for superior client service.
• Enjoys dealing with people daily and is tolerant of rude people, polite but assertive.
• Problem solving skills
• Good interpersonal skills and proven ability to work in a highly team-oriented environment
• Proven ability to function in a fast-paced, project-based, environment
