Accounts Payable Analyst

JOB SUMMARY

CARE International in Kenya is seeking to recruit an Accounts Payable Analyst that will be based in Nairobi and will report to the Accounts Coordinator- The Accounts Payable Analyst is responsible for working with the Shared Service Centre (SSC) for ensuring the timely processing of payments to Country Office (CO) vendors, for monitoring advances (other than sub-awards related) and for ensuring that finance documents are accurate and the finance filing system is well-maintained in accordance with CARE policies and procedures.

ROLES AND RESPOSIBILITIES

Accounts Payable Process-60%

  • Receive and verify payment requests from requesters, both by email and in hard copy so as to ensure proper monitoring of payment request received from staff through the CO Accounts Payable mail box for processing within maximum 48 hours
  • Verify accuracy of documentation and compliance to CARE policies and procedures, ensuring completeness of supporting documentation, accuracy of chart fields, correct budget lines etc.
  • Provide prompt feedback and support to requesters to correct errors and fill any gaps in information supplied
  • Submit payment requests and advance liquidations support documents to SSC for date entry as per defined schedule, and in accordance with CARE policies and procedures.
  • Have regular updates with SSC to ensure that AP transactions are recorded and respond to any additional request for clarification or any other required additional supporting documentation
  • Keep track of the statutory obligations checklist and ensure remittances are submitted on time to avoid penalties

Banking and Treasury management-30%

  • Prepare electronic bank transfers or cheques for settlement of approved payments of staff, vendors, consultants, sub grantees, tax authorities and field offices.
  • Review bank statements of assigned bank accounts, analyze bank charges before recording and submission to Accounts Coordinator and Shared Service Centre. Ensure correct and completely recording of bank charges transaction on timely manner.
  • Responsible for ensuring that checklist register for bank confirmation is timely, properly and accurately filled.
  • Issue and record to appropriate fund code/PID receipts to acknowledge deposits of grants, refunds from staff advances and any other miscellaneous receipts on timely manner and ensure banking is done within 24-48 hours of receipts

Filing and Audit Support-10%

  • Ensure all payment vouchers and other related financial documents are well-organized and filed sequentially in a timely manner
  • Support internal and external audit teams through prompt retrieval of finance vouchers

QUALIFICATIONS

Education and Experience

  • Bachelor’s Degree in Accounting/ Finance or any other business-related field
  • Professional qualification in finance, audit and accounting. Preferred in holding CPA (certified public accountant), or CMA (certified managerial accountant) or other finance related licenses.
  • Minimum relevant working experience in accounting and finance for more than 2 years, it is a plus if holding field experience in the humanitarian or development sector.
  • Demonstrated knowledge of computerized AP and/or accounting systems and experience with financial related software (excel, accounting packages)
  • Previous work experience with a major general ledger software package – experience with Peoplesoft system
  • Excellent communication skills, including the ability to communicate effectively in a multi-cultural environment and diplomatically manage collegial relationships

Project Driver

JOB SUMMARY

CARE Kenya is seeking to recruit a Driver to be based in Nairobi to provide efficient and safe transportation of authorized personnel and/or commodities. The Project Driver willreport to the Project Manager and will be based in Nairobi with frequesnt travel to project sites. The driver will be responsible for the safe driving of CARE vehicles and will at all times comply with the traffic regulations and the Organizations’ policies and regulations on vehicle Management as well as the Kenya Traffic Act CAP 403, Laws of Kenya.

ROLES AND RESPOSIBILITIES

Perform daily transport duties-50%

  • Drive CARE vehicles and/or equipment as shall be assigned by the Supervisor in a safe and economical manner in conjunction with the regulations in place.
  • The Driver will be responsible for the routine check-up of the vehicles, routine check-up to include but not limited to oil, brake function, water, lights & tire condition, windshield wipers, etc.
  • Confirm availability of vehicle tools and equipment before, during and after work.
  • The Driver shall always maintain assigned vehicles clean and in good condition, properly for the convenience of the Organizations’ operations. Including the SOP for CARE vehicles during the COVID Pandemic.
  • The driver shall always stop the engine and electric power of assigned vehicles to save consumption of fuels and the general vehicle engine performance.
  • The Driver shall handover the assigned vehicles by doing a comprehensive handover report before departing.

Ensure safety of the vehicle /passengers /materials-30%

  • Embrace ownership, caution and responsible behavior while driving to avoid any form of Intoxication.
  • Ensure safety of passengers on aboard Care vehicles.
  • Ensure vehicle first aid kit and fire extinguishers and other vehicle safety equipment are available and in good condition.
  • He shall carry only authorized passengers as per the Organization policies on vehicle management.
  • The driver shall strictly observe Traffic Rules and Regulations and maximum speed limit as prescribed by the Traffic Act, Laws of Kenya.
  • The driver shall at all time park the vehicles at the designated parking area/secure place with all doors and windows locked, keys kept safely.
  • Ensure that all passengers are on safety belts for trips within, and outside Project sites.
  • The driver shall always drive vehicles safely and comfortably and must exercise defensive driving while on the road to prevent accident.
  • Reckless driving shall be sufficient ground for the driver's recall and consequently be a cause of disciplinary action.
  • He shall adhere to Safety and Security regulations/SOPs.

Ensure all vehicles legal documentation or condition is met by the organization-10%

  • Ensure all payment vouchers and other related financial documents are well-organized and filed sequentially in a timely manner
  • Support internal and external audit teams through prompt retrieval of finance vouchers

Reporting of accidents and incidents and other duties-10%

  • Report immediately to the Police and Supervisor; not accepting liability on behalf of Care.
  • Present a comprehensive report to the management within 24 hours.
  • Assists in any other duties assigned by his or her supervisors

QUALIFICATIONS

Education and Experience

  • Minimum of Kenya Certificate of Secondary Education
  • Valid Driving license class BCE
  • At least 3 years accident-free driving
  • Sound Knowledge of road safety and traffic regulations
  • High integrity and dependability
  • Good communication, writing & interpersonal and Computer skills, and knowledge in office suites
  • Defensive driving training is an added advantage
  • Prior experience working with NGO
  • Training in basic mechanics, advanced driving, first aid, etc. will be an added advantage.
  • Ability to demonstrate a client-oriented approach, high sense of responsibility, courtesy, tact, and patience
  • Attention to detail and ability to prioritize requests and flexibility to take variety of tasks
  • A Police clearance certificate is required prior to the issuance of a contract
