JOB DETAILS:
• The role entails offering technical and administrative human resource services in the HR functions of Recruitment and Staffing, Training, Employee Relations, HR Information and Database administration, Engagement and Welfare, and Insurance, Payroll and Administration. Your key duties and responsibilities will be as follows, but not limited to:

Your day-to-day responsibilities will include:
Recruitment and Staffing

• Receive and maintain a database of job applications by sorting them per positions,
• Source applications from recruitment companies, and or advertising for positions internally & externally as may be agreed. Administer the available Applicants Tracking System (Workable) in line with best practice, i.e. update all applications accordingly
• Receive and file as appropriate New Employee Requisition Forms, and enforce usage of this form where it is not submitted by line managers, for necessary recruitment approval
• Shortlist applications, and call and schedule candidates for interviews, carry out interviews for positions of up to agreed work levels alongside relevant line supervisors & manager
• Capture and maintain interview notes and reports in required templates
• Provide interview feedback to candidates as appropriate and timely
• Execute due diligence on selected candidates, in particular contact minimum 2 previous employers of a candidate, and another minimum 2 personal referees
• Contact respective education institution to certify the authenticity of college/university education testimonials provided by selected candidate as part of due diligence
• Create personal files for new employees, have them fill out all necessary personal data forms, and collate all new staff statutory data for payroll
• Coordinate the ‘Kitting’ of new employees with relevant uniforms, work equipment, tools etc, take a passport photo and process a Name Tag, business cards. Especially ensure that all SCs receive all working tools (coordinate with relevant stakeholders to get this done)
• Create induction programs and drive induction and onboarding of new candidates as appropriate in conjunction with line managers, track daily progress and undertake induction progress reviews
• Have appropriate induction record forms signed and filed in new employee files within 1st month of joining
• Undertake Happy colleague check ins after 1st month, document process and advise feedback to HRO
• Support and advise on staff retention plans
• Any other duties that may be assigned within this function

Learning & Development
• Liaise with business managers and senior management to create and maintain the training agenda. Maintain the annual training calendar with the support of HRO, take lead role in supporting the coordination of Route 1 training
• Coordinate scheduled monthly or ad hoc training both external and external as required. Liaise with external training consultants as may be needed.
• U+ management - make necessary staff updates on U+ by close liaison with regional lead/UK, create Learning Plans and assign learners, track LP completion and regularly update relevant reports to business managers to assure 100% completion rates within timelines
• Especially set up and ascertain 100% completion of all mandatory and compliance training on or off U+ as shall be rolled out from time to time
• Support & drive learning on other training platforms as may be required, e.g. LinkedIn
• Maintain the Training Register file, and collect all training attendance records from the various line departments for filing and capturing in softcopy reporting template
• Organize, compile and maintain personnel records such as leavers, job changes and new engagements on company HRIS (or Workday where applicable) in line with audit requirements and liaise with regional capability leads for missing information
• Any other duties that may be assigned within this function

Performance Management
• Sales Performance Assessment administration - work with the HRO in support for sales performance management plans
• TPA administration - work with the HRO in support for performance management plans for service technicians
• PDR support - work with the HRO in execution of performance development plans, support PDR eligible teams learn, access and create and carry out their PDRs on SPEED within required timelines
• PIP admin support - support HRO in collating relevant documentation, and in driving compliance to the process of performance improvement plans
• Any other duties that may be assigned within this function

Engagement and Welfare
• Support in coordinating the company staff engagement survey (YVC) when held and in organizing feedback sessions with teams as needful
• Participate in HR projects/ad hoc (as per direction by HRO)
• Maintain neatness and updates on all Company noticeboards, and update the Wall of Fame photos as necessary monthly, update company Whatsapp groups with leavers/joiners
• Any other duties that may be assigned within this function

• Relevant Tertiary Education - degree in HR or relevant field with experience
• Proficient in English & Kiswahili - written and spoken
• Related work experience minimum 1 year
• Customer Care experience advantageous
