1. IDENTIFICATION
1.1 Job title- Control Room Nurse

2. RESPONSIBILITIES

Managing Emergency Call Center
•Receiving and answering phones calls in the Control room.
Consultation /confirmation with Aeromedical Coordinator
•To receive the phone calls from clients requiring the services offered by AFD not limited to Medical Evacuation Requests, Ground Ambulance requests, Assistance services i.e. GOP placement, Medical Report Follow ups.
•Documentation of all requests capturing full details of the caller, time of call, caller’s telephone number and disseminate the information to the Flight Nurse on duty or Aero-Medical Coordinator.
•Maintain and ensure all information is updated on the CRM, SAMs, Admission books as accurately as possible.
•Ensure Flight Files are ready for use and all checklists attached in the folder i.e. Equipment checklist, Covid Mission Checklist, VTE assessment Checklist, Handover Checklist, Comprehensive Medical Report from Treating Doctor or Referring Hospital.
•Operating the 24-hour Control Centre and communicate as required using all other modes of modern communication available including radio communication.
•Recording and Noting the messages and responding effectively.
•Effectively communicating the messages to the respective people immediately for patient care.
•Responding to UHF/UVF Radio calls.
•Attending to the emergency e-mails and responding on time.
•Ensuring and confirming that all communication gadgets (telephones, faxes, printers, photocopiers etc.) are in good working order.
•Ensuring effective, efficient and timely communication in the Control Room
•Communicating effectively with outside institutions/agencies, including hospitals, EMS, and other operators for medical efficient services delivery
•Maintaining contact with patients, families, referring facility staff and safety personnel during and after contact to provide continuous loop closure and information sharing
•Following up of in-patients and obtaining progress reports, whilst handling medical assistance case files
•Receving and handling internal and external customer queries and complaints.
Patients Records Keeping and Communication
•Ensuring all patient information/correspondence is written.
•Ensuring all correspondences are filed in relevant data files.
•Ensuring reports are written and handed over to the next person/people manning the station.
•Receiving, Attending and Assembling for Emergency Evacuation Requests.
•Getting detailed information of the patient i.e. personal information, medical information and reports.
•Informing the client of Cost estimate.
•Sending and obtaining relevant GOP (Guarantee of Payment) from the client duly In consultation with Aeromedical coordinator signed and completed with the official Stamp.
•Dispatching the team for medical evacuations assignments in consultation with aero medical coordinator
•Ensuring efficient documentation in Control Room
•Maintain and process complete and accurate records

Medical Evacuations (Pre-Flight) Roles
•Ensures Evac file is complete
•Checklists are filed
•Flight Nurse signs satisfaction for completed Evac file-Develop a tool to track theseStandby
•Control Room Nurse is available to respond to GA standby.
•Control Room Nurse is available to respond to GA MissionsMedical Evacuation (Post-flight) & Ground Ambulance Mission
•Ensuring all the equipment used to immobilize and stabilize the patient are all recovered back and taken back to the base. Review of GA checklist
•Proceeding back to the office and cleans/disinfect and sterilize all equipment used, Restocks the Thomas pack, order all the missing plus exhausted stock following GA missions or Standby
•Completing the equipment checklist.
•Filing all the reports in the relevant folders and fax the relevant documents like medical report to the insurance companies
•Ensuring there are clear contacts of the receiving hospital, Doctor and ensure a contact is established before evacuation take off time. Passes over flight itinerary to the receiving end.
•Ensuring the Aeromedical Coordinator is updated promptly with issues arising during the GA evacuation and giving the ETAs
•Completing all medical forms and notes.
•Upon arrival at the final destination, hands over the patient and notes to the receiving Ambulance, Physician, or HospitalIn collaboration Aero-medical coordinator
•Obtaining signature and name of receiving physician/nurse and ensures the receiving physician/ nurse sign the handover report.
•Back to base, cleans all the equipment and replenishes used drugs and supplies
•Handing over drugs, money and receipts for expenses incurred.
•Completing medical evacuation missions initiated within the timeframe of his / her shift, understanding that completion of these missions might require working beyond normal work hourSpecial events Coverage
•Providing medical coverage at special events (Marathons, Horse shows, motor & field sports) by groundambulance or in a make shift medical facility (tents)Must be approved by Medical Director’s office

REQUIRED QUALIFICATIONS
4.1Minimum Education
•Basic Diploma in Nursing field and /or any Medical Related Course.
•Minimum of 1 year consecutive work experience in a busy medical facility.
4.2 Preferred Experience and Knowledge
•Customer Service experience.
•Fluency in a foreign language will be an added advantage.
•Excellent Communication skills
•Customer centric mindset
•Knowledge in Customer Relationship Management (CRM) System
•ICT Proficiency4.3 Skills and competencies
•Ability Excellent communication skills
