Where we work
Based in the United Kingdom with offices in Bangladesh, Ethiopia, India, Kenya, Myanmar, Nepal and the Philippines, Triple Line is part of the Delhi-based IPE Global Group. We primarily deliver in South and South-East Asia and Eastern and Southern Africa, but also in North Africa, and South America to a lesser extent.
About the role
The role combines four components:
• Nairobi Office Management and Company Administration, (35%)
• Internal Compliance and Project Support (30%)
• Personnel Administration (20%)
• Logistics and Travel Management 15%)
This is a challenging but rewarding role that will involve engagement across the whole Triple Line company, from the interns to the directors, from London to Manila. We are looking for a dynamic individual who has high levels of initiative and the confidence to multi-task with minimal supervision, to raise concerns, and to ask for help when needed.
Nairobi Office Management and Company Administration, (35%)
• Be the welcoming ‘face’ of the Nairobi office – including meeting and greeting clients and partners.
• Responsible for the overall administration upkeep of the Nairobi office including coordinating office suppliers, transport services, events, I.T equipment procurement and maintenance; in accordance with Triple Line policies
• Support the Duty of Care officer in health and safety risk assessments for the Kenya Team and visitors, owning the fire safety and evacuation procedures, and ensure regular testing for electrical equipment and safety devices
• Work with Finance team to align our administration activities and Office Costs monitoring, responding to queries as required.
Internal Compliance and Project Support (30%)
• Maintain accurate and up to date fixed asset register, ensure insurance agreements are renewed regularly
• Keep track and ensure proper use of administrative policies, guidelines, and procedures; provide feedback on their applications and advice if modifications are needed or not.
• Coordination with sub-consultants, field team, data management etc.
• Project delivery and cost monitoring support
Personnel Administration (20%)
• Ensure compliance to – and offer support to team members on – the Triple Line recruitment, onboarding and offboarding processes. This requires an oversight of all HR movement across the Triple Line operations and taking a more active support role for Kenya-based hires including active engagement with line managers and hiring managers as and when required.
• Lead on coordinating the onboarding of new starters, including ensuring they have the right equipment, access to all Triple Line tools, set up on Triple Line systems, and ensure that all other onboarding processes and trainings are completed, drawing on other team members as needed. Provide support to new starters in other Triple Line offices as required.
• Lead on ensuring key HR processes are followed, for example ensuring promotion letters are written, exit interviews are undertaken, annual appraisals are documented.
• Maintain records on all personnel issues such as, but not limited to promotion, transfer, discipline, annual leaves, holidays.
• Lead on the maintenance of all personnel related insurances, benefits, and claims. Be on hand to answer queries and support the team in understanding their cover.
Logistics and Travel Management (15%)
• Handle travel arrangements, visas and hotel reservations for staff and Triple Line guests
• Maintaining all Kenya personnel travel records including duty of care related
• Provide adequate support to field team on all administrative and logistical matters

Person Specification
We are looking for someone with excellent organization skills along with the ability to prioritize tasks and meet deadlines. You will act as a point of contact for our employees and clients.
Essential
• Experience in delivering corporate and / or office administration.
• Organised, pro-active and confident, with the ability to work under pressure and meet strict deadlines.
• Self-starter with a can-do attitude who can plan, prioritise, and manage their own workload effectively with limited supervision.
• Must enjoy – and be effective at - working as part of a team.
• Strong interpersonal and communication skills.
• Excellent standard of written and spoken English.
• Able to adapt to changing priorities and deadlines.
• Ability to effectively manage and communicate with senior members of staff, including Directors
• Strong command of IT systems including knowledge of Microsoft Office, and the confidence to learn new systems.
• Eligible to live and work in Kenya
Desirable
• Experience of working within a consultancy environment.
• Working knowledge of SharePoint.
• Experience, or interest in international development.
• Relevant qualification in HR, administration, management, or business.
