Our client is seeking a diligent and proactive Clearing and Forwarding Officer to join their dynamic team. The successful candidate will be responsible for coordinating the clearance and forwarding of goods through customs and ensuring timely delivery to the final destination. This job is located in Nairobi.

Duties and Responsibilities of Clearing and Forwarding Officer

  • Coordinating and monitoring the clearing and forwarding of shipments at ports of entry and exit.
  • Ensuring accurate documentation for import and export processes, including invoices, packing lists, bills of lading, and customs declarations.
  • Liaising with customs officials, shipping lines, transporters, and regulatory agencies to facilitate smooth cargo movement.
  • Tracking shipments and providing real-time updates to internal teams and clients.
  • Handling the preparation and submission of applications for duty exemptions, permits, and other relevant regulatory documentation.
  • Resolving any issues related to customs queries, demurrage, or delays.
  • Maintaining proper records of all shipping and clearance documentation.
  • Ensuring compliance with all import/export laws and regulations.
  • Evaluating and selecting appropriate transportation and logistics providers.
  • Applying for licenses, exemptions, and any required certifications.
  • Serving as the point of contact between the company and customs brokers, port officials, and logistics partners.
  • Preparing periodic reports on shipment status, cost analysis, and delays.
  • Coordinating with warehouse staff to ensure smooth receipt and dispatch of goods.
  • Communicating shipping updates and clearance status to internal departments and clients.
  • Organizing and monitoring loading, offloading, and delivery operations.
  • Negotiating shipping rates and delivery timelines to ensure cost efficiency.
  • Assisting in processing claims in case of lost or damaged goods.
  • Assisting the finance team with budgeting and cost control for shipping activities
  • Identifying and implementing process improvements for faster and more eco-friendly cargo movement.
  • Providing guidance and training to junior staff or interns within the logistics or operations department.
  • Representing the company at port meetings, customs reviews, or industry forums as needed.
  • Supporting internal and external audits related to shipping and customs compliance.

Qualifications and skills required of Clearing and Forwarding Officer

  • Bachelor’s degree or diploma in Logistics, Supply Chain Management, Business Administration, or a related field.
  • Proven track record in handling import/export documentation, customs clearance, and freight coordination.
  • 2–5 years of relevant experience in a clearing and forwarding, logistics, or shipping role.
  • Certification in Customs Clearance, Freight Forwarding, or International Trade (e.g., FIATA Diploma, IATA Cargo Introductory Course).
  • Sound knowledge of customs regulations and documentation requirements.
  • Familiarity with freight forwarding systems and platforms.
  • Strong organizational, communication, and negotiation skills.
  • Strong customer service orientation.
