JOB DETAILS:
Purpose:
The Chief Operations Officer is the Senior Management role in the organization and is responsible of overseeing the overall operations and procedures to run the business efficiently.
It’s the COO’s role to ensure the processes are defined and adhered to at all times. The efficiency of the processes is to be measured through the Key Performance Indicators, which have to be regularly updated and monitored.
The job holder is accountable for the operational responsibilities and answerable in the weekly Management Meeting.

Job Responsibilities:
Key areas of focus initial three months employment:
• Enhance internal operations and procedures for efficiency, effectiveness and with a view of business growth
• Development of a business growth strategy in collaboration with the MD and Sales & Marketing Manager
• Financial overhaul exercise and planning in collaboration with the Finance Manager.
• Act as a trusted advisor to the Senior Management:
• Responsible for advising the Senior Management on the operational related responsibilities to improve efficiency;
• Ensure all the important issues are brought to the attention of the Senior Management;
• Advise the Senior Management on the operational related issues;
• Contribute to the development of Organizational Goals;
• Provide continuous input on improving the operational capabilities of the organization.
• Facilitate and lead the departmental meetings to advice on the operational issues;
• Prepare and advice on the regular reporting requirements by the Senior Management.
Lead the Operations Function:
• Ensure the organizational goals and objectives are well understood by the staff;
• Provide a trusted environment where teams are able to work together to achieve the organizational goals;
• Maintain a culture that values high performance and supports innovation and challenges;
• Initiate and implement new ideas into the business to improve operations while avoiding the risk of negative impact on existing operations by validating the impact on existing operations.
• Ensure adequate training is provided to the staff to improve efficiency and motivation.
• To make informed decisions regarding the operational and strategic areas of the business.
• Accountable for the processes developed for the operations followed by the business;
• Oversight of all the current and new projects and ensure they are aligned with the objectives of the organization.
• Establish processes that promote company culture and vision.
Operations Financial Management:
• Financial forecasting company wide;
• Develop and participate in the budgeting process;
• Ensure continuous follow up with the Finance Manager to avoid disruptions to the operations;
• Actively manage costs related to the operations efficiently.
Cross Functional Integration:
• Drives and communicate the company strategies and objectives;
• Determine how departments can service the business optimally;
• Present departmental success as a means of increased revenue;
• Identify best practices and implement for success;
• Detrimental in implementing new projects and defining the departmental roles for expansion;
• Endeavour to ensure synergies in the department for organizational success and increase revenue.
