ABOUT JENGE KULTURE
JENGE Kulture is a Pan African social change initiative that promotes a culture that translates social concern into creative and innovative social action in Africa. We connect and support Africa's Creators, Innovators, and Changemakers and the work they do in creating social change in the continent. We are a young non-profit registered in Kenya as a company limited by guarantee.
Our goal is to connect and support at least 5 Million Creative Changemakers in Africa by 2030. We need your help to accomplish this! We are looking for a passionate and talented individual who can support our work as an Administrative Intern. You will be joining a passionate team in a fun and fast-changing work environment.
ABOUT THE ROLE
Working under the direct supervision of the Executive Director, the Administrative Intern will provide day-to-day administrative and operational support to the organization. You will provide support in a variety of administrative and operational functions, including managing organization files/filing and records, managing communication and correspondence, managing organization calendar and events, managing office premises, financial accounting, etc.
Your role will require a high level of flexibility and adaptability. You will work in collaboration with our team of volunteers to ensure the coordination of the team’s overall workflow. As the Administrative Intern, you will need to demonstrate excellent administrative and organizational skills, robust problem-solving skills, excellent interpersonal and communication skills, a high level of personal initiative, and a kind and collaborative spirit and supportive approach, including the ability to work well in a distributed, diverse, deep-thinking, and fast-paced environment.
SPECIFIC TASKS
You will be responsible for:
• Record-keeping & File Management: Organizing and maintaining filing systems, managing document control; Ensuring the confidentiality and security of files and filing systems; Maintaining and updating company databases; Attending meetings and recording notes and messages for managers and senior team members.
• Communication and Correspondence: Receiving and processing communication channels, including email, phone, and physical mail; Answering queries by visitors, team members, community members, etc; Updating office policies and communicating them to the wider team; Preparing correspondence, documentation, or presentation materials.
• Logistics & Procurement Support: Managing office supplies, negotiating prices, and placing orders.
• Events & Calendar: Maintaining individual, team, and company calendars and scheduling appointments; Help organize and coordinate events and workshops.
• Asset Management Support: Maintaining the asset register and ensuring security and functionality of necessary office equipment and assets, requisitioning new equipment and supplies as needed.
• Financial Management Support: Preparing regular financial and administrative reports; Help make payments, process incoming invoices, and verify receipts.
• Office/Premise Management: Helping to manage our office/premises/creator space in Embakasi (Nairobi); Booking creator spaces, meeting rooms, etc.
THIS ROLE IS IDEAL FOR
The ideal candidate for this role has:
• A degree/diploma in Business Management, Finance, or related discipline.
• A good understanding of Administrative and Operational processes.
• Previous experience in Office Administration or Financial Accounting is an added advantage.
• Strong organizing and organizational skills.
• The ability to work under own initiative, prioritize tasks, and manage workload with minimal supervision.
• Strong attention to detail, and ability to reliably stay on top of a range of tasks and projects.
• An interest or passion for the Arts, Design, Innovation, and the Social Change agenda in Africa.
• Willingness to uphold the 3 Principles of the JENGE Philosophy: Unity, Social Responsibility and Creativity/Innovation.
