Administration Manager (Nairobi Office)
Reporting to the Finance & Administration Director, the Administration Manager will oversee and provide administrative support services to the Jhpiego Kenya office. S/he will oversee office administration, leases management, procurement assets management and transport & travel services and implement systems to ensure the integrity, smooth running and effective performance of Administrative services. S/he will supervise the activities of the procurement & Stores staff working in Nairobi office and provide support to field offices administrative staff. S/he will work closely with the Finance & Administration Director and will proactively identify gaps and make suggestions for improvement in the administration department. .
Responsibilities:
• Provide oversight over Jhpiego Kenya office administrative operations i.e. Office management, procurement asset management, office safety and security facilities and utilities etc.
• Work closely with the Finance & Admin Director to review and regularly update policies and ensure compliance to policies, statutory requirements and guidelines within the section
• Establish administrative systems and provide guidance on implementation for smooth office operations
• Provide managerial oversight and guidance to operational units in Nairobi office including procurement Stores
• Lead in transport & travel logistics (both domestic and international)
• Acts as the key liaison person between the operations team and the senior management
• Develop and implement standard operating procedures for the operations department
• Develop innovative and efficient ways of administrative operations with a focus on cost cutting
• Ensure efficient operation of fleet management system, maintenance of vehicles. Ensure safe custody of and transport related records and vehicle registration documentation
• Coordinate transport management by providing fuel and vehicle maintenance analysis and approval of the taxi invoices
• Coordinate office leases management and tracking
• Coordinate taxis ground transport and local travel
• Responsible for regional and international conferences coordination and logistics. I.e. conference venue reservations, airport pick up, visas processing support, etc.
• Review hotel invoices for office meetings/functions
• Provide operations support to field offices in systems update, policy guidelines, operations, leasing of offices to ensure standards and uniform application of Jhpiego policies.
• Lead in the evaluating, appraising and selecting suppliers/vendors.
• Negotiate and maintain contracts with service providers and third parties.
• Coordinate the physical assets inventory check of all Nairobi & field office assets on an annual basis and ensure the asset register is updated regularly.
• Responsible for establishing and implementing a stores disposal plan of obsolete items
• Coordinate and oversee imports shipment, tracking, paper work and receipts
• Identify career development opportunities to develop administrative staff
• Mentor motivate and supervise staff in the section.

Qualifications • University degree in business related field
• Minimum of 6 (Six) years' experience in a similar capacity working in a busy office especially with an International organization
• Expert in one or several of the operations functions e.g. Procurement, Assets Management, Transport, or Office Administration
• Fully certified in one professional area
• Able to communicate effectively and to confidently engage with senior management instilling trust and confidence
• Excellent interpersonal and communication skills with pleasant and outgoing personality
• Excellent organizational skills including the ability to handle a variety of assignments sometimes under pressure of deadlines.
• Proficient Computer skills including demonstrated hands on-experience with MS Word, MS Power Point. MC ACCESS and MS Excel
• Proficiency in both written and spoken English and Kiswahili.
